Job Overview
We are seeking a proactive and organized PCA/Office Assistant to join our team. This paid position offers an exciting opportunity to support daily office operations while assisting with client coordination and administrative tasks. The ideal candidate will bring strong organizational skills, excellent communication abilities, and a positive attitude to help ensure smooth office functioning and outstanding client support.
Duties
- Manage front desk responsibilities, including greeting visitors and clients with professionalism and warmth
- Answer multi-line phone systems promptly, directing calls efficiently and courteously
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing, document proofreading, and general clerical tasks to keep the office organized
- Support office management activities such as calendar management, appointment scheduling, and time management
- Assist with bookkeeping duties including invoicing, billing, and basic financial record keeping in QuickBooks
- Provide excellent customer support by addressing inquiries and ensuring client needs are met promptly
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Bilingual abilities are a plus for effective communication with diverse clients and team members
- Excellent phone etiquette with experience managing multi-line phone systems
- Strong typing skills along with data entry accuracy and proofreading capabilities
- Previous clerical or administrative experience preferred; personal assistant experience is a bonus
- Ability to manage calendar appointments efficiently and prioritize tasks effectively
