Duties
- Greet patients and families warmly, creating a friendly and inviting atmosphere for children and adults alike
- Manage appointment scheduling using dental practice management software such as Eaglesoft or Dentrix, ensuring efficient clinic flow
- Verify insurance coverage, including Medicaid, Medicare, and private plans, utilizing systems like Epic, Meditech, Athenahealth, or eClinicalWorks
- Collect patient information accurately through intake forms and update electronic health records (EHR systems) with detailed documentation review
- Handle multi-line phone systems with professional phone etiquette to answer inquiries, schedule appointments, and confirm upcoming visits
- Process medical billing and collections using knowledge of CPT coding, ICD-10/ICD-9 coding, and dental terminology to ensure accurate claims submission
- Maintain organized dental records, medical files, and office supplies while adhering to HIPAA regulations for health information management
- Assist with insurance verification, pre-authorizations, and follow-up on outstanding claims to optimize revenue flow
- Support front desk operations by managing patient check-in/check-out procedures, scheduling follow-up visits, and handling clerical tasks such as filing and data entry
Qualifications
- Proven experience in a dental or medical office environment with strong familiarity in clinic operations and medical administrative support
- Proficiency in dental practice management software such as Eaglesoft or Dentrix; experience with EMR (Electronic Medical Records) systems like Epic or Meditech is highly desirable
- Knowledge of HIPAA regulations, medical coding (CPT, ICD-10/ICD-9), insurance verification processes, and health information management standards
- Excellent computer skills including Microsoft Office suite; typing skills including 10-key typing for data entry tasks
- Strong customer service skills with the ability to communicate effectively with children, parents, staff, and insurance providers
- Bilingual abilities are a plus to serve diverse patient populations effectively
- Office management experience in a busy clinic setting is preferred; familiarity with multi-line phone systems and front desk operations is essential
- Ability to handle sensitive information discreetly while maintaining professionalism under pressure
