Pediatric Therapy Operations Coordinator

About the Role

We are looking for a highly organized, dependable, and proactive Operations Coordinator to support the daily operations of a growing pediatric therapy clinic.

This role involves managing insurance authorizations, tracking important documentation deadlines, maintaining accurate systems, and communicating with families, therapists, physicians’ offices, and insurance companies.

This is not a basic front desk position. We are looking for someone who is detail-oriented, comfortable managing multiple responsibilities at once, and able to take ownership of their work in a fast-paced healthcare environment.

Responsibilities

  • Track and manage Plans of Care (POCs) and Prior Authorizations (PAs)
  • Submit and follow up on insurance authorizations
  • Maintain accurate updates across tracking systems and documentation
  • Monitor deadlines to help prevent delays or gaps in care
  • Communicate professionally with parents, therapists, physicians’ offices, and insurance companies
  • Answer phones and assist families with scheduling and general questions
  • Ensure documentation is completed, submitted, and tracked appropriately
  • Communicate proactively regarding task updates, delays, or issues

Qualifications

  • Prior experience in a medical office or healthcare setting preferred
  • Strong organizational and time-management skills
  • Ability to manage multiple systems and tasks simultaneously
  • Strong attention to detail and follow-through
  • Excellent communication and problem-solving skills
  • Professional phone etiquette and strong people skills
  • Comfortable using computers, online portals, spreadsheets, and documentation systems
  • Understanding of insurance authorizations and medical office workflows preferred

Pay: $20.00 - $25.00 per hour
