About the Role
We are looking for a highly organized, dependable, and proactive Operations Coordinator to support the daily operations of a growing pediatric therapy clinic.
This role involves managing insurance authorizations, tracking important documentation deadlines, maintaining accurate systems, and communicating with families, therapists, physicians’ offices, and insurance companies.
This is not a basic front desk position. We are looking for someone who is detail-oriented, comfortable managing multiple responsibilities at once, and able to take ownership of their work in a fast-paced healthcare environment.
Responsibilities
- Track and manage Plans of Care (POCs) and Prior Authorizations (PAs)
- Submit and follow up on insurance authorizations
- Maintain accurate updates across tracking systems and documentation
- Monitor deadlines to help prevent delays or gaps in care
- Communicate professionally with parents, therapists, physicians’ offices, and insurance companies
- Answer phones and assist families with scheduling and general questions
- Ensure documentation is completed, submitted, and tracked appropriately
- Communicate proactively regarding task updates, delays, or issues
Qualifications
- Prior experience in a medical office or healthcare setting preferred
- Strong organizational and time-management skills
- Ability to manage multiple systems and tasks simultaneously
- Strong attention to detail and follow-through
- Excellent communication and problem-solving skills
- Professional phone etiquette and strong people skills
- Comfortable using computers, online portals, spreadsheets, and documentation systems
- Understanding of insurance authorizations and medical office workflows preferred
