People and Culture Associate

POSITION DESCRIPTION

The People & Culture Associate provides foundational HR operational support in line with the HR Process guidelines. The role ensures accurate documentation, data integrity, recruitment coordination, and administrative support across the employee lifecycle.

This is an entry-level HR role focused on execution accuracy, compliance, and service responsiveness, supporting both Head Office and Project teams under supervision.

The Associate contributes to efficient HR Service Delivery while building capability.

DUTIES AND RESPONSIBILITIES

HR Operations Support

  • Assist in employment documentation preparation (contracts, letters, memos)
  • Maintain employee personnel files
  • Update HRIS with employee data, attendance, and leave records
  • Support onboarding documentation and checklist completion
  • Track probation timelines and assist in confirmation processing
  • Support separation documentation and clearance coordination
  • Ensure document completeness

Recruitment & Onboarding Coordination

  • Post job advertisements as directed
  • Screen applications against defined criteria
  • Schedule interviews and coordinate candidate communication
  • Prepare interview documentation and trackers
  • Assist in offer letter issuance and joining documentation
  • Support orientation sessions and onboarding formalities

Attendance, Leave & Data Management

  • Collect attendance sheets from departments and projects
  • Maintain attendance trackers and leave records
  • Assist in monthly attendance consolidation
  • Support LWP tracking and supervisor validation follow-ups
  • Maintain accurate HR trackers and spreadsheets

Project / Field HR Support (Under Supervision)

  • Coordinate with project focal persons for documentation submission
  • Follow up on attendance and HR data from field locations
  • Assist in preparation for monitoring visits and audits
  • Support HR team during field visits when required
  • Maintain field compliance documentation logs

Employee Service & Administrative Support

  • Respond to basic employee queries
  • Process routine documentation requests
  • Assist in organizing engagement activities, HR events, and training sessions
  • Support asset tracking coordination with Admin team
  • Maintain confidentiality and professionalism in all interactions

HR Reporting & Documentation

  • Assist in preparation of HR dashboards and reports
  • Maintain recruitment trackers and HR compliance logs
  • Support audit documentation preparation
  • Ensure data accuracy in all HR reports

REQUIRED JOB SPECIFICATIONS

Required Qualification

Bachelor’s in HR, Business Administration, or related field. Prior experience with HRIS platforms or a background in digital administrative services preferred.

Required Experience

0–2 years’ experience with at least 6 months’ internship in HR.
