JOB SUMMARY

The People Service Specialist plays a critical role in supporting ADG’s Benefits and Talent Acquisition functions with accuracy, responsiveness, and exceptional associate service. This role manages the centralized Benefits inbox, sorts and routes incoming claims notifications, and ensures timely coordination with HR Business Partners. It also supports the Talent Acquisition function by processing Request-to-Hire submissions, posting roles, maintaining ADG’s job description library, and preparing hiring and operational reports. Success in this role means HRBPs receive benefits-related information quickly, recruitment processes flow smoothly, and associates experience timely, consistent, and high-quality support across all HR interactions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Benefits Support (Approx. 50%)

Manage and triage the Benefits team inbox, ensuring timely routing and response to associate inquiries, claim notifications, leave updates, and communications from carriers.
Maintain and monitor employer responsibilities within the leave administration system, ensuring documentation, claim updates, and required tasks are completed accurately to support timely claim processing for associates.
Maintain organized benefits records, logs, and documentation to support operational efficiency, compliance requirements, and audit readiness.
Conduct regular benefits eligibility audits and carrier data reconciliation to ensure accurate enrollments, payroll deductions, and vendor records across all benefit plans.
Assist with carrier billing reconciliation to support accurate invoicing and identify discrepancies requiring correction.
Strengthen the associate experience by supporting annual open enrollment activities, including auditing enrollment data, preparing communications, tracking participation, and maintaining organized records.
Identify and escalate time-sensitive benefits or leave issues to Benefits leadership to ensure timely resolution and minimize associate disruption.

Talent Acquisition Support (Approx. 50%)

Ensure complete and accurate processing of Request-to-Hire (RTH) submissions, following up proactively to resolve missing information.
Maintain hiring workflow efficiency by posting job openings in the ATS and across approved external job boards with accurate and consistent formatting.
Maintain ADG’s Job Description library, ensuring consistent templates, naming conventions, version control, and organizational structure.
Assist HR Business Partners and leaders by creating, editing, and formatting job descriptions that align with ADG standards.
Produce recurring and ad hoc hiring and operational reports, supporting visibility into recruitment activity.
Contribute to a strong candidate experience by assisting with interview scheduling, communication, and onboarding documentation.
Requirements:

Required Qualifications

Must be legally authorized to work in the United States.
Minimum 2 years of experience in HR, benefits administration, and/or recruitment support.
Strong organizational skills with the ability to manage high-volume tasks and competing priorities.
Proficiency in Microsoft Outlook, Word, and Excel.
Strong accuracy and attention to detail in data, documentation, and communication.
Ability to handle confidential information with discretion and professionalism.
Excellent written and verbal communication skills.
Reliable remote work environment and stable internet connection.

Preferred Qualifications

Experience working with an ATS.
Familiarity with Benefits and Leave Administration systems
Background supporting multi-site or multi-state HR teams.
Experience maintaining shared document libraries or HR knowledge bases.
Bilingual (English/Spanish).

Remote/Home Office: Must maintain a professional, confidential, and distraction-free environment suitable for HR work.
Travel requirement: 0–5%, if any.
