Per Diem Transportation Coordinator / Central Supply

Job Summary-Transportation & Central Supply Coordinator

The Medical Transport Scheduler coordinates and schedules transportation services for patients who require non‑emergency medical transport. This role ensures timely, accurate, and efficient scheduling while maintaining excellent communication with patients, drivers, caregivers, and healthcare facilities.

Key Responsibilities

  • Receive and schedule incoming transportation requests from patients, healthcare providers, and partner organizations

  • Assign trips to drivers based on availability, location, vehicle type, and patient needs

  • Verify patient information, appointment times, pickup/drop‑off locations, and special requirements

  • Monitor live dispatch schedules and adjust assignments as needed to handle delays, last‑minute changes, or cancellations

  • Communicate trip details clearly to drivers and provide ongoing support during transport

  • Use scheduling software to document trips, update statuses, and maintain accurate records

  • Coordinate with medical facilities to confirm appointment times and special accommodations

  • Maintain high customer service standards when interacting with patients, families, and providers

  • Assist in problem resolution, including no‑shows, routing issues, or patient concerns

  • Ensure compliance with safety, regulatory, and HIPAA requirements

  • Order and maintain inventory of medical supplies and equipment.

  • Conduct regular inventory audits to ensure accuracy and prevent shortages.

  • Implement and maintain an efficient supply distribution system.

  • Receive deliveries of supplies, upack supplies to proper storage locations and deliver to nursing units as needed.

  • Manage the supply budget and ensure cost-effective purchasing.

  • Identify opportunities for cost savings and implement strategies to reduce expenses.

  • Oversee the proper maintenance of supplies and equipment to guarantee their longevity and functionality.

  • Scrutinize invoices, purchase orders, and packing slips with meticulous attention, accurately matching them with incoming merchandise.

  • Establish streamlined storage and catalog locations for supplies and equipment,

  • optimizing handling and preventing damage.

  • Be the go-to point of contact for staff inquiries regarding products and supplies.

  • Vigilantly track and follow up on back orders to maintain a seamless supply chain.

  • Actively participate in developing methods for determining the optimal quantity of supplies and equipment.

Required Qualifications

  • High school diploma or equivalent (some roles prefer additional education or healthcare experience)

  • Strong communication and customer service skills

  • Ability to multitask and work in a fast‑paced environment

  • Basic computer literacy; experience with scheduling or dispatch software is a plus

  • Strong attention to detail and accuracy

  • Ability to remain calm under pressure and solve problems quickly

Preferred Skills

  • Experience in medical transportation, dispatching, or healthcare administration

  • Knowledge of local geography and routing

  • Familiarity with HIPAA guidelines and patient confidentiality

Physical & Work Environment

  • Fast-paced nursing home environment, supply room, resident units.

  • Interaction with various departments and staff members.

  • Requires long periods of sitting, phone use, and computer work

  • May require flexible scheduling, including evenings or weekends

  • Ability to lift 50lbs and move supplies and equipment.

  • Prolonged periods of standing and walking.

Requirements:

  • Minimum of 1 year of experience in supply chain management in a healthcare setting
