Summary

Provide secretarial support to the HR Unit. Responsible for a variety of HR related functions. Process Workers’ Compensation (WC) claims and Family Medical Leave (FML) requests. Coordinate all personnel screenings for both new hire and internal promotions. Process and screen incoming employment applications.

Essential Duties And Responsibilities

    • Performs standard secretarial human resource related duties such as typing, filing, answering the telephone as back-up receptionist, and recordkeeping.
    • Handles application documentation. Reviews for eligibility and completeness. Maintains files and makes copies as needed. Handles inquiries, and types initial regret letters.
    • Assists in new hire selection process. Schedules appointments for screenings, requisitions criminal background checks, sends candidates for drug testing, copies materials, types regret letters, and maintains records as needed.
    • Processes workers’ compensation claims and maintains files.
    • Processes family medical leave requests and maintains files.
    • Maintains a variety of human resource related files and lists including those for outside employment, lateral transfers, internal promotion screening records, intra-department telephone, personnel functional chart, home telephone, and education.
    • Assists in new hire process. Schedules fingerprinting, forwards cards to appropriate agencies, requests previous employment background checks, and maintains confidential employee background files.
    • Attends training as needed to keep abreast of all applicable laws, regulations, rules, guidelines and procedures directly related to job tasks and job scope.
    • Assists with all other duties in the Human Resources area as assigned.
Minimum Requirements

Minimum of two years related experience in a clerical or office environment. Preference given to experience in human resource area specifically related to WC, FML, or general HR related job tasks. High school diploma or equivalent . Knowledge of principles and practices of office procedures. Ability to maintain professionalism and confidentiality when dealing with personnel and general public. Knowledge of the operation of standard and automated office equipment. Intermediate to advanced proficiency on the personal computer to include standard office PC applications. Ability to communicate effectively with personnel and general public both verbally and in writing. Ability to execute oral and written instructions. Type 35 wpm.

While performing the duties of this position, the incumbent is regularly required to sit, stand, walk, bend, stoop, lift, push and pull.
