Job Summary
Seeking a dynamic and highly organized Administrative Assistant to support a disabled therapist in Redondo Beach. In this role, you will assist the client with clinical paperwork, billing and invoicing, personal and professional correspondence, and other administrative tasks, as needed. Your proactive approach and exceptional organizational skills will assist the employer - who is paraplegic and has a traumatic brain injury - in managing her schedule, coordinating personal and professional projects, handling correspondence, and completing professional paperwork and billing.
Responsibilities
- Manage and coordinate calendars and workflow to ensure all appointments, tasks and deadlines are scheduled, prioritized and followed through on.
- Provide executive administrative support by taking dictation, proofreading documents, and helping the client stay on task and complete personal and professional paperwork, invoices, etc.
- Organize and maintain filing systems—both physical and digital—ensuring easy retrieval of documents.
- Support bookkeeping activities using accounting software to create and manage invoices, track expenses, and perform basic bookkeeping tasks.
- Facilitate home improvement project coordination by conducting research, placing calls, setting up interviews/ meetings, tracking progress, preparing status reports, and communicating updates to ensure timely completion of tasks.
- Maintain office supplies, order necessary materials, and oversee general office management duties to keep the client organized.
- Support personal assistant responsibilities such as scheduling personal appointments or errands when needed.
- Use Microsoft Office Suite (Word, Excel, PowerPoint, Canvas) and other software to create professional documents, presentations, and spreadsheets.
- Conduct proofreading of communications and correspondence to uphold quality standards.
- Utilize office technology including office management systems, DocuSign for electronic signatures, and other relevant software to streamline tasks.
Experience
- Proven experience in an administrative role with a strong background in office management or clerical work.
- Prior experience supporting executives or healthcare professionals, or serving as a personal assistant, is highly desirable.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), QuickBooks or similar bookkeeping software, and familiarity with DocuSign or other electronic signature platforms.
- Excellent organizational skills with the ability to multitask effectively, and gently keep others organized and on-task.
- Experience working with people with ADHD or other cognitive impairments.
- Strong typing skills coupled with attention to detail for proofreading and data entry tasks.
- Exceptional interpersonal skills with professional phone etiquette, and a high degree of patience necessary for working with an individual with a traumatic brain injury and PTSD.
- Ability to handle confidential information discreetly while maintaining a high level of professionalism.
- Willingness to assist with errands and other personal assistant tasks as needed.
