Job Description
Everest Dental, a thriving family dental practice in Oviedo with 30,000+ patients and a 5-star reputation, is hiring a part-time Personal and Administrative Assistant to support our owner-dentist, Dr. Peter Gayed.
This is not a typical assistant role. After 10+ years of growth, our owner is reducing his clinical schedule to step into a full owner-operator role. We are looking for a sharp, organized, proactive person to be his right hand, keeping him on track, projects moving, and operations running smoothly.
This role starts at about 20 hours per week with a clear path to grow into full-time as the role expands. If you love bringing order to a busy person’s world and want your work to actually move the needle, read on.
What You’ll Do
Keep the owner organized and on-track
- Manage daily, weekly, and long-term task lists and priorities
- Manage the owner’s calendar, schedule meetings, and protect focus time
- Manage email inbox and follow-ups
- Hold the owner accountable to deadlines and commitments
- Break big projects into actionable steps and remove roadblocks
Support practice operations
- Run bi-weekly payroll and collect payroll data
- Track associate dentist production
- Make weekly bank deposits
- Coordinate with department heads and key team members
Build accountability systems
- Learn and apply our existing KPI and practice-management resources
- Create and maintain checklists, spreadsheets, and workflows
- Make sure team members are tracking their KPIs consistently
- Report on results and flag problem areas
Help drive growth projects
- Support planning for an upcoming practice expansion (new or larger space)
- Coordinate with contractors, vendors, and outside professionals
- Keep projects moving so nothing stalls
Light personal support, as needed
- Run occasional local errands (such as car maintenance drop-offs or picking up supplies)
- Help with time-sensitive family logistics (such as picking up the kids in an emergency)
- This is about reducing friction, not daily personal service
Must-Have Qualifications
- Highly organized with strong attention to detail
- Proactive and persistent, you follow up without being asked
- Direct, clear communicator who can hold others accountable
- Comfortable learning new systems, spreadsheets, and software quickly
- Trustworthy and discreet with confidential information
- Self-motivated and able to work independently from home
- Reliable transportation, valid Florida driver’s license, and proof of auto insurance
- Local to the Oviedo or Orlando area
Nice-to-Have Qualifications
- Prior experience as an administrative assistant, personal assistant, or office coordinator
- Experience in a dental, medical, or healthcare practice
- Familiarity with payroll, bookkeeping, or KPI tracking
- Experience with project management tools (Asana, Trello, Monday, etc.)
