Personal Assistant

Job Summary
We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This dynamic role involves managing calendars, coordinating projects, handling correspondence, and ensuring smooth office operations. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to multitask efficiently in a fast-paced environment. Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate and organize events, meetings, and travel arrangements to ensure seamless execution.
  • Handle incoming calls with professionalism using multi-line phone systems and maintain excellent phone etiquette.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail.
  • Perform data entry, filing, and bookkeeping tasks utilizing QuickBooks and other office management tools.
  • Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
  • Oversee general office management duties such as supply inventory, filing systems, front desk responsibilities, and maintaining a welcoming environment for visitors.
  • Assist with personal errands or tasks as needed to support executive priorities.

Qualifications

  • Proven experience as a Personal Assistant or in an administrative support role with at least two years of relevant experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office management software like QuickBooks.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
  • Exceptional communication skills with polished phone etiquette and professional demeanor.
  • Demonstrated experience in event planning, project coordination, bookkeeping, data entry, proofreading, transcription, and clerical work.
  • Familiarity with multi-line phone systems, Microsoft Outlook Calendar, DocuSign for electronic signatures, and general office equipment.

Job Type: Full-time

Pay: $22.28 - $26.83 per hour
