Personal Assistant

Overview
We are seeking a dynamic and highly organized Personal Assistant to support executive leadership and ensure smooth daily operations within our healthcare management organization. Duties

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with efficiency and foresight
  • Coordinate and plan events, meetings, and travel arrangements, ensuring all details are meticulously handled from start to finish
  • Provide executive administrative support by preparing reports, proofreading documents, and transcribing audio or written content accurately
  • Handle correspondence via multi-line phone systems with professional phone etiquette, screening calls and directing inquiries appropriately
  • Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records
  • Assist with project coordination by tracking deadlines, preparing materials, and supporting team initiatives to ensure timely completion
  • Perform clerical duties including typing, proofreading, filing, and managing office supplies to keep the workspace efficient and organized

Requirements

  • Proven experience as a Personal Assistant or in an administrative role with office management responsibilities
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and familiarity with DocuSign for document signing workflows
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Demonstrated experience in event planning, project coordination, and calendar management
  • Exceptional communication skills with professional phone etiquette across multi-line phone systems
  • Ability to perform data entry accurately while maintaining attention to detail for bookkeeping and record-keeping tasks
  • Experience with office equipment such as fax machines, scanners, and front desk operations is preferred
  • Knowledge of QuickBooks accounting software and basic bookkeeping practices is a plus
  • Strong computer literacy combined with excellent organizational skills to streamline daily operations
  • A proactive attitude with the ability to anticipate needs and solve problems independently
