We’re looking for a highly organized, tech‑savvy, people‑friendly Personal Assistant to support the owner of a growing Med Spa. This role is perfect for someone who enjoys variety, thrives in a fast‑paced environment, and loves helping a business run smoothly behind the scenes.
You’ll work closely with the owner to keep daily operations flowing — from reception support to calendar management to customer outreach. If you’re dependable, proactive, and comfortable juggling multiple tasks, you’ll fit right in.
Key Responsibilities: Administrative & Organizational Support
- Manage and coordinate multiple calendars (owner, staff, meetings, vendor appointments)
- Check, organize, and respond to emails on behalf of the owner
- Assist with schedule management and time‑blocking
- Prepare documents, notes, and digital files as needed
- Support with general computer work, data entry, and online organization
Front Desk & Client Support
- Assist with reception duties during busy hours
- Greet clients and provide a warm, professional experience
- Help with appointment confirmations, rescheduling, and follow‑ups
- Support customer service communication via phone, text, and email
Outreach & Communication
- Assist with customer outreach (follow‑ups, reminders, satisfaction check‑ins)
- Support partner/vendor outreach and communication
- Help maintain positive relationships with local businesses and collaborators
Online & Digital Management
- Assist with website updates, online booking systems, and digital platforms
- Help manage online listings, profiles, and basic content updates
- Support social media tasks
Qualifications
- 2 years of Admin experience
- 2 years customer service experience
- High school diploma or GED
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Comfortable with technology, email platforms, and online tools
- Professional, friendly, and calm under pressure
- Experience in a customer‑facing role is a plus
- Ability to maintain confidentiality and professionalism at all times
