Personal Assistant

Overview
We are seeking a proactive and highly organized Personal Assistant to support and streamline daily operations. This dynamic role offers an exciting opportunity to contribute to a fast-paced environment by managing schedules, coordinating projects, and handling a variety of administrative tasks with precision and enthusiasm. The ideal candidate will be a detail-oriented professional with excellent communication skills, ready to take on diverse responsibilities that keep the office running smoothly and efficiently.

Duties

  • Manage complex calendars, scheduling meetings, appointments, and events with attention to detail.
  • Handle correspondence via email, phone calls, and written communication with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents and records.
  • Support bookkeeping and invoicing tasks using QuickBooks or similar accounting software; perform data entry and basic bookkeeping duties.
  • Provide executive administrative support such as proofreading documents, transcribing notes, preparing reports, and managing office supplies.
  • Oversee office management duties including front desk responsibilities, managing multi-line phone systems, and ensuring the office environment is welcoming and organized.
  • Facilitate project coordination by tracking deadlines, preparing agendas, taking minutes during meetings, and following up on action items.
  • Utilize Office experience skills such as filing, data entry, clerical support, and customer service to ensure smooth daily operations.

Skills

  • Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace tools (Gmail, Docs), and familiarity with Microsoft Outlook Calendar.
  • Excellent typing speed combined with transcription skills for accurate note-taking and document creation.
  • Strong office management abilities including filing systems, front desk operations, and multi-line phone system handling.
  • Knowledge of bookkeeping software like QuickBooks along with basic bookkeeping and data entry expertise.
  • Exceptional communication skills with professional phone etiquette and customer service orientation.
  • Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment.
  • Experience in event planning from logistics coordination to execution ensures seamless gatherings or corporate events.
