We are seeking a highly organized and proactive Personal Assistant to support executive leadership and streamline daily operations. Duties
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace & Google Calendar, scheduling meetings, appointments, and events efficiently.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Provide executive administrative support by preparing documents, proofreading correspondence, transcribing notes, and maintaining filing systems.
- Handle multi-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette at all times.
- Assist with event planning for company meetings, conferences, and special events from start to finish.
- Oversee office management tasks such as supply inventory, filing, data entry in QuickBooks or other bookkeeping software, and maintaining a tidy workspace.
- Support project coordination efforts by tracking deadlines, preparing reports, and collaborating with team members to meet objectives.
- Conduct clerical duties including data entry, document proofreading, transcription services, and managing front desk responsibilities.
- Facilitate communication between departments and external partners using professional customer service skills.
- Utilize office software like Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and Quickbooks for data entry, DocuSign for document signing processes.
Experience
- Proven experience as a Personal Assistant or in an administrative support role with a minimum of two years of relevant office experience.
- Demonstrated expertise in calendar management, project coordination, and office management functions.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Drive), and familiarity with QuickBooks or similar bookkeeping software.
- Excellent typing speed combined with transcription skills; detail-oriented proofreading abilities are essential.
- Experience handling multi-line phone systems and practicing professional phone etiquette.
- Knowledge of office procedures such as filing systems, data entry protocols, and front desk operations.
- Ability to multitask efficiently while maintaining high accuracy under tight deadlines.
