Job Summary
We are seeking a dynamic and highly organized Business and Personal Assistant to provide comprehensive support to our executive team. Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings using Microsoft Outlook Calendar and Google Workspace tools.
- Provide executive administrative support by preparing correspondence, reports, and presentations with accuracy and professionalism.
- Organize and coordinate events, meetings, and travel arrangements to ensure seamless execution.
- Handle phone etiquette professionally across multi-line phone systems, screen calls, and direct inquiries appropriately.
- Perform data entry, filing, and document management tasks using Office management software including Microsoft Office Suite and QuickBooks for bookkeeping purposes.
- Assist with project coordination by tracking deadlines, preparing agendas, and following up on action items.
- Conduct proofreading and transcription of documents to maintain high-quality communication standards.
- Support office management duties such as maintaining supplies, overseeing front desk operations, and managing office records efficiently.
- Perform job duties in the field and in the office.
- Perform other job duties as assigned.
Experience
- Proven experience as a Assistant or in an administrative support role with a strong background in office management.
- Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Experience with bookkeeping software such as QuickBooks and familiarity with basic bookkeeping principles.
- Prior experience coordinating events, managing calendars, and handling multi-line phone systems is highly desirable.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent written and verbal communication skills with professional phone etiquette.
