We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. Responsibilities

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Handle correspondence via phone, email, and other communication channels with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Assist with event planning for company functions, meetings, and special events from inception to execution.
  • Perform data entry, bookkeeping using QuickBooks, and maintain accurate records of financial transactions and invoices.
  • Prepare reports, proofread documents for accuracy, and transcribe audio or video recordings as needed.
  • Support office management tasks such as filing, organizing documents, managing supplies inventory, and overseeing front desk duties.

Skills

  • Proven experience as a Personal Assistant or in an administrative support role with strong office management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Strong typing skills combined with attention to detail for proofreading and data entry tasks.
  • Experience with project coordination and event planning to ensure seamless execution of initiatives.
  • Demonstrated ability to handle confidential information discreetly while providing executive administrative support.
  • Exceptional customer service skills coupled with professional phone etiquette to interact confidently with clients and team members alike.
