Personal Assistant

Job Summary

We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to provide comprehensive administrative and personal support to Dr. Ali Golshan and his executive staff. The ideal candidate will demonstrate exceptional organizational skills, strong communication abilities, and a high level of professionalism. This role is critical to ensuring seamless daily operations in a fast-paced, dynamic environment by managing schedules, coordinating projects, handling correspondence, and overseeing both professional and personal logistics.

Key Responsibilities

  • Manage and coordinate complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
  • Plan and coordinate domestic and international travel, including corporate meetings, conferences, special events, and personal travel itineraries.
  • Handle personal administrative tasks, including dry cleaning and laundry coordination (pickup and drop-off).
  • Coordinate vehicle maintenance, including servicing, inspections, repairs, and detailing.
  • Oversee home cleaning services, scheduling and managing vendors as needed.
  • Run errands and provide general administrative and personal support as required.
  • Manage correspondence, emails, and phone communications with professionalism and discretion.
  • Support executive staff with ad hoc projects and ensure smooth day-to-day operations.

Qualifications

  • Proven experience as a Personal Assistant or in a similar administrative support role with office management responsibilities.
  • Exceptional organizational and multitasking abilities in a fast-paced environment.
  • Excellent written and verbal communication skills with professional phone etiquette.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, and Google Workspace (Gmail, Drive).
  • Experience with multi-line phone systems and digital communication platforms.
  • Strong typing and proofreading skills with a high level of accuracy.
  • High level of computer literacy and comfort with office software and technology tools.
  • Self-motivated, highly detail-oriented, and capable of maintaining strict confidentiality when handling sensitive information.

Pay: $18.00 - $25.00 per hour

Work Location: Hybrid remote in Santa Monica, CA
