Personal Assistant and Executive secretary - Real Estate Experience Preferred

We are hiring a professional female Personal Assistant / Executive Secretaryto join our team in the real estate sector. The ideal candidate should be highly organized, well-spoken, and capable of managing daily administrative tasks, coordinating with team members, and handling client communications efficiently.

Candidates with prior experience in real estate companies or brokerage firmswill be given preference.

Key Responsibilities

Administrative & Office Management

  • Manage the manager’s calendar, schedule meetings, and organize appointments.
  • Handle day-to-day office operations and maintain a professional work environment.
  • Organize and maintain files, records, and documents (both physical and digital).
  • Handle correspondence, emails, and phone calls promptly and professionally.
  • Coordinate internal communication with staff and external communication with clients and partners.

Real Estate Administration & Listings

  • Manage and update property listingson real estate platforms and internal systems.
  • Coordinate property registration and documentation with real estate companies and relevant departments.
  • Communicate with brokers and agents regarding property availability, updates, and client requirements.
  • Maintain an organized database of properties, clients, and transactions.
  • Follow up on property listings, leads, and documentation to ensure accuracy and completion.
  • Assist the sales team with administrative support related to property listings and client files.

Accounts & Financial Coordination

  • Manage daily financial transactions including petty cash handling and expense tracking.
  • Assist in preparing invoices, processing payments, and maintaining financial records.
  • Coordinate with the accounts team for budgeting, reporting, and reconciliation.

Skills & Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum 2 years of experience, in a real estate brokerage or property company.
  • Strong experience in office administration, coordination, or executive support roles.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)and basic accounting software.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication in English.
  • Ability to handle confidential information with professionalism and integrity.

Job Type:Full-time, Permanent
Salary:AED 3,000 – AED 3,500 per month

Contract length: 24 months

Pay: AED3,000.00 - AED3,500.00 per month
