Personal Assistant for Med Spa owner

Job Overview
We are seeking an energetic and highly organized Personal Assistant to support the owner of a thriving Med Spa. This role is vital in ensuring smooth daily operations, coordinating events, and providing exceptional administrative support. Duties

  • Manage the owner’s calendar using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
  • Coordinate special events, client workshops, and promotional activities, handling logistics from planning to execution.
  • Provide comprehensive executive administrative support including email management, transcription, proofreading, and data entry to ensure clear communication and accurate records.
  • Oversee office management tasks such as filing, document organization, and maintaining supplies to keep the workspace efficient and welcoming.
  • Handle phone etiquette with multi-line phone systems, screening calls professionally and directing inquiries appropriately.
  • Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks related to the Med Spa’s operations.
  • Support front desk responsibilities including customer service, appointment confirmations, and managing client check-ins.

Qualifications

  • Proven experience as a personal assistant or administrative professional in a fast-paced environment; experience in office management or medical/spa settings is preferred.
  • Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail.
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, and DocuSign.
  • Exceptional phone etiquette skills with experience managing multi-line phone systems.
  • Ability to perform clerical tasks such as filing, proofreading, transcription, and office organization seamlessly.
  • Outstanding customer service skills with a friendly demeanor at the front desk or over the phone.
  • High level of professionalism combined with excellent organizational and project coordination abilities.
