Personal Assistant / Office Assistant to the Director – Dry Bulk Shipping Company

Location: Dubai, UAE

Salary Range: AED 4,000 – 8,000 (depending on experience)

Employment Type: Full-time

About the Company

Sea Freight is a global dry bulk shipping company headquartered in London, with established offices across key international locations. Our newly opened Dubai operations office plays a central role in supporting our regional commercial and operational activities as we expand our presence in the Middle East.

We are seeking a reliable and organized Personal Assistant / Office Assistant to support the Director and help ensure smooth operations in this growing office.

Role Overview

The Personal Assistant / Office Assistant will work closely with the Director to manage daily schedules, assist with personal and office-related tasks, and support general administrative functions. While experience in shipping is a plus, strong organizational and communication skills are the main priorities.

Key Responsibilities

Director Support

  • Assist with daily personal and office tasks for the Director
  • Manage calendars, appointments, and meeting coordination
  • Prepare basic correspondence, documents, and follow-up items
  • Organize travel bookings, itineraries, and reservations
  • Handle sensitive information with professionalism and discretion

Office & Administrative Duties

  • Act as the front desk point of contact: welcoming guests and answering calls
  • Greet visitors and provide coffee, tea, and refreshments in a professional manner
  • Ensure the general cleanliness and organization of the office
  • Liaise with external contractors, suppliers, and service providers for office maintenance
  • Manage office supplies, inventory, and small procurement tasks
  • Process office bills, invoices, and payments
  • Maintain organized filing systems (digital and physical)
  • Assist in preparing simple reports, presentations, and spreadsheets

General Coordination

  • Support communication between internal departments
  • Assist with basic administrative tasks related to shipping operations (training provided)
  • Complete ad-hoc duties assigned by the Director or management team

Requirements

  • 1–3 years of experience as an Office Assistant, Personal Assistant, or Administrative Assistant
  • Excellent English communication skills (written and verbal)
  • Excellent organizational and time-management abilities
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Professional appearance and a positive, proactive attitude
  • Ability to multitask and work independently
  • Experience in the shipping or logistics industry is an advantage but not required
