Personal Assistant & Office Manager

The Opportunity

Qanapi is seeking a high-performing Personal Assistant and Office Manager to support our CEO and lead office operations. This role requires high-level organizational rigor, professional discretion, and a proactive approach to maintaining a world-class workspace. There is opportunity to grow beyond the scope of this role over time, specifically in support of marketing and social media efforts.


The Role

You will maintain the daily administrative rhythm and headquarters environment.

  • Support the CEO as a logistical partner and right hand.
  • Manage office operations to ensure team is properly supported.
  • Maintain the physical workspace through inventory and vendor coordination
  • Reports to: Chief of Staff


Core Responsibilities

Executive Assistance

  • Manage the CEO’s travel and make arrangements for the Executive Team.
  • Handle high-priority errands and logistical tasks to optimize executive time.
  • Coordinate professional and personal hospitality requirements with precision.

Office Management

  • Maintain the office environment, ensuring it remains professional and fully operational.
  • Procure all office essentials, including supplies and corporate inventory.
  • Act as the primary contact for vendors and facility management.
  • Manage operational budgets for office supplies and maintenance.


The Profile

  • Experience: 2 years in executive support or office operations.
  • Mentality: Agile mindset where no task is too small and high-level efficiency is standard.
  • Organization skills with an expert-level eye for detail.
  • Professional demeanor capable of representing the CEO to stakeholders.
  • A demonstrated, proactive use of AI tools in day-to-day operations.
  • Flexible hours to support international travel for management between timezones.


Compensation

  • $52,000 - $60,000
