Role Overview
The Managing Director operates across laboratories, partners, regulators, investors, and product teams. The pace is high, priorities shift quickly, and context switching is constant.
This role exists to protect leadership time, maintain operational flow, and remove friction before it becomes a problem. You are not a task-taker — you are a trusted executive partner who anticipates needs, manages complexity, and ensures follow-through across multiple workstreams.
Key Responsibilities
Executive & Operational Support
- Own and actively manage the Managing Director’s calendar, priorities, and daily flow
- Act as the first point of triage for inbound requests, meetings, and follow-ups
- Prepare briefs, summaries, agendas, and context notes ahead of meetings
- Track actions, deadlines, and commitments across multiple internal and external workstreams
- Ensure follow-ups are completed and decisions are closed
Communication & Coordination
- Manage executive email correspondence with professionalism and discretion
- Coordinate with partners, vendors, advisors, and internal teams
- Handle high-stakes scheduling across time zones
- Draft and review executive-level documents, presentations, and reports
Logistics & Planning
- Coordinate travel, logistics, and complex scheduling when required
- Support meeting preparation and post-meeting execution
- Maintain structured records and documentation
Process & Efficiency
- Identify gaps, inefficiencies, and risks before they surface
- Improve workflows, systems, and executive processes
- Maintain confidentiality across sensitive commercial, scientific, and personal matters
What We’re Looking For
- 5+ years of experience supporting senior executives in fast-paced, high-pressure environments
- Exceptionally organized, detail-oriented, and calm under pressure
- Strong written and verbal communication skills in English (Fluent in English)
- Comfortable working with executives, scientists, investors, and external partners
- High level of discretion, judgment, and professionalism
- Proactive, independent, and solution-oriented mindset
- Ability to anticipate needs and think several steps ahead
