Job Summary
We are seeking an energetic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Coordinate and organize a variety of projects and events, including logistics planning, vendor communications, and follow-up tasks.
- Handle all aspects of office management such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
- Provide executive administrative support by preparing reports, proofreading documents, transcribing meetings, and managing correspondence.
- Operate multi-line phone systems with professional phone etiquette while directing calls efficiently to appropriate parties.
- Assist with personal errands and tasks as needed to support the executive’s daily activities.
- Maintain confidentiality and exercise discretion when handling sensitive information or communications.
Qualifications
- Proven experience as a Personal Assistant or in an administrative role with at least two years of relevant office experience.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for document signing workflows.
- Demonstrated experience in event planning, project coordination, bookkeeping (QuickBooks preferred), and office management.
- Exceptional typing speed with accuracy for data entry, transcription, proofreading, and clerical tasks.
- Outstanding customer service skills combined with professional phone etiquette for front desk duties and multi-line phone systems.
- Ability to handle multiple responsibilities simultaneously while maintaining attention to detail.
