About This Role

The Personal Assistant plays a critical role in ensuring the CEO can focus on high-level responsibilities across the company and the industry while maintaining a sustainable work-life balance. This is a position for someone who excels at creating order, managing logistical details, and keeping work and life moving smoothly behind the scenes. By coordinating schedules, tasks, and daily workflows, you become a key support to the CEO and the broader executive team.


Key Responsibilities

  • Manage calendars, time blocking, meetings and travel
  • Support coordination of special projects and events, including scheduling, follow-ups, meeting minutes and light research
  • Support senior management team with logistics and administrative needs
  • Manage the company's New Jersey office
  • Maintain digital and physical files and materials
  • Support routine and short-notice errands and tasks
  • Coordinate errands, purchases and supply needs
  • Phone and email management


Qualifications

  • Strong organizational skills with exceptional attention to detail
  • Highly proactive, able to anticipate needs and stay steps ahead
  • Ability to multitask, prioritize, and manage time effectively
  • Excellent verbal and written communication skills
  • Familiarity with Google Suite, Microsoft Office, digital calendars and ability to learn new tools quickly.
  • Professionalism, reliability, and strong sense of confidentiality
  • Comfortable balancing personal and professional tasks
  • Valid driver's license and reliable vehicle (all company-related use of vehicle is reimbursed)
  • Experience supporting an executive, small business, or entrepreneur preferred


Mobility Expectations

  • Frequent local travel to support business and personal needs including daily errands and short-notice trips is required
  • Must be comfortable driving in the NJ–NYC metropolitan area, including highways, city streets, bridges, tunnels, and mixed traffic conditions. Must also be comfortable using public transit in the NJ-NYC area if travel to the company's headquarters or other offices is required.
  • Must be able to lift and transport lightweight items such as boxes, tech equipment, or office supplies (up to ~25 lbs).
  • Role involves periodic walking, standing, entering/exiting vehicles to enter places of business, carrying items, etc.


Schedule & Work Environment

This is not a work from home role. Work will be based at the company's office (Hazlet, NJ) with local travel and errands. Occasional visits to the company's other offices may be required. Valid driver’s license and reliable vehicle required. (Company will pay for all travel-related expenses.)
