You are the operational backbone behind a global CEO — managing everything from complex international travel and multi-property household operations to UAE government documentation and vendor coordination across five countries.
This role exists to ensure the CEO's personal and professional world runs seamlessly, regardless of time zone, location, or complexity. You will own the logistics, the systems, and the follow-through — so the CEO never has to think twice.
This role is best suited for individuals who are highly discreet, exceptionally organized, and thrive in high-trust, low-oversight environments where anticipating needs is just as important as executing them.
YOU'RE LIKELY A STRONG FIT IF YOU HAVE

Prior experience in a Family Office environment, UHNW/HNW household, or complex executive support role managing international schedules and logistics

Strong understanding of discretion, confidentiality, and the expectations of a high-trust personal support role

Experience managing multi-country logistics, properties, or assets across multiple time zones

Proven ability to coordinate vendors, service providers, and household staff with minimal direction

Proficiency in Microsoft Office tools (Outlook, Excel, Word, Teams) and task management platforms

Strong written and verbal communication skills for liaising with executives, agencies, and government offices
STRONG SIGNALS

Experience handling UAE visa applications, PRO services, or government-related documentation in the Middle East

Familiarity with creating and maintaining SOPs for household, travel, or administrative workflows

Exposure to AI tools or automation platforms used for scheduling, task tracking, or operations management

Experience supporting founders or C-suite executives who operate across multiple countries and residences

Naturally proactive — you anticipate what is needed before being asked
RESPONSIBILITY PILLARS
Travel Coordination & Backup Support

You own the CEO's global movement end-to-end — from booking to contingency.

Manage and book all travel arrangements including flights, hotels, transfers, and itineraries.

Maintain backup options for last-minute disruptions and changes.

Ensure all visa, entry requirements, and travel documentation are valid and current at all times.
UAE & Middle East Administrative Support

You are the operational link between the CEO and UAE government requirements.

Handle visa applications, renewals, and government-related documentation in UAE and the wider Middle East.

Liaise with local agencies, PRO services, and government portals on the CEO's behalf.

Support company setup-related administrative requirements in the UAE as needed.
Multi-Property Home Operations (Global)

You ensure every residence is always ready — regardless of which country the CEO is headed to next.

Create and maintain SOPs for running and standardizing homes in London, Delhi, Dubai, Cebu, and Bali.

Coordinate with local household staff, cleaners, drivers, and service providers across all locations.

Ensure consistency in standards, supplies, and operational readiness across all five properties.
Local Dubai Operations & Purchases

You execute on the ground in Dubai — fast, accurately, and without follow-up needed.

Manage and execute local purchases covering personal, household, and operational needs.

Coordinate with vendors, service providers, and suppliers with proper documentation and expense tracking.
Insurance, Asset Tracking & Events

You ensure nothing lapses — not a policy, not a renewal, not a detail.

Maintain and monitor insurance policies for properties, vehicles, and medical coverage globally.

Track renewal dates, coverage status, and compliance requirements with zero gaps.

Assist with coordination and logistics for local events under AICoaches.com including venue, guests, and vendors.
SOP Development, AI Integration & Process Building

You continuously improve how personal and household operations run.

Develop detailed SOPs for all personal, household, and administrative workflows.

Identify opportunities to automate repetitive tasks using AI tools such as Claude, OpenAI tools, or AI agent platforms.

Ensure all systems are transferable, scalable, and documented so operations run regardless of staffing changes.
