About the Role
We are looking for a highly organized and proactive Personal Assistant to support the Director of Sales – Real Estate. The ideal candidate has strong real estate background, excellent communication skills, and experience handling B2B meetings, listings, RERA processes, off-plan promotional calls, multilingual communication, and video content support.
Key Responsibilities
Sales Support & Coordination
• Cold calling, lead follow-up, and appointment scheduling
• Assist with listing preparation and property documentation
• Update CRM and support daily sales operations
Real Estate Documentation
• Prepare and manage RERA Forms A, B, and F
• Handle all contract and compliance documentation
• Coordinate with landlords, buyers, and internal teams
Off-Plan Promotional Activities
• Conduct promotional calls for new off-plan launches
• Assist in preparing project briefs, talking points, and follow-up scripts
• Support sales director in project-specific campaigns and investor communication
Multilingual Communication
• Assist in preparing messages, presentations, captions, and documents in more than two languages
• Coordinate with translators or AI tools to ensure accurate delivery
Video & Marketing Support
• Support the creation of video content for specific projects and company services
• Assist in script writing, coordination, and filming logistics
• Manage content scheduling and posting (optional)
B2B Meeting Coordination
• Schedule and manage business-to-business meetings
• Prepare agendas, minutes, and follow-up actions
• Coordinate with developers, corporate clients, and partners
Customer Relations
• Manage communication via phone, WhatsApp, and email
• Arrange meetings, viewings, and follow-up reminders
• Ensure smooth and professional client experience
Executive Support
• Manage calendars, appointments, and priority tasks
• Prepare basic reports and updates
• Maintain confidentiality at all times
Requirements
• Minimum 3 years experience in a real estate brokerage company
• Experience with off-plan projects, promotional calls, and multilingual communication
• Strong experience in cold calling, listings, RERA processes, and B2B meetings
• Ability to support video content creation
• Excellent communication & organization skills
• Tech-savvy and able to multitask
• English required; Arabic is a plus
