Personal & Business Operations Assistant (1099 Contractor)

About the Position

We are seeking a highly organized, dependable, and adaptable Personal & Business Operations Assistant to provide administrative, operational, financial, and personal support for a small business and its owners.

This is a hands-on position requiring strong organizational skills, attention to detail, discretion, sound judgment, and the ability to manage a wide variety of responsibilities. The successful candidate will be comfortable handling administrative tasks, bookkeeping support, scheduling, transportation assistance, vendor coordination, errands, and general operational support.

This role is ideal for someone who enjoys variety, takes initiative, solves problems independently, and is comfortable supporting both business and personal needs.

ResponsibilitiesAdministrative Support

  • Manage calendars, appointments, reminders, and scheduling
  • Coordinate vendors, contractors, and service providers
  • Prepare correspondence, reports, and documentation
  • Organize files, records, and business information
  • Track projects and follow up on outstanding items
  • Assist with day-to-day business operations

Bookkeeping & Financial Support

  • Maintain financial spreadsheets and records
  • Process bills, invoices, and payments
  • Reconcile transactions and account activity
  • Organize records for outside accounting and tax professionals
  • Research and resolve discrepancies
  • Maintain accurate documentation and reporting

Personal Assistance & Transportation

  • Coordinate personal appointments and scheduling
  • Transport owner to appointments and approved activities
  • Assist with mobility-related logistics, including transportation of a folding wheelchair
  • Grocery shopping and supply purchasing
  • Run errands and complete miscellaneous tasks
  • Assist with personal organization and logistics

General Support

  • Maintain an organized and functional work environment
  • Perform light housekeeping, organization, and cleanup tasks as needed
  • Assist with inventory and supply management
  • Provide operational support wherever needed

Requirements

  • Valid driver's license
  • Clean driving record
  • Reliable personal vehicle with working heat and air conditioning
  • Vehicle large enough to transport a folding wheelchair
  • Automobile insurance that covers driving performed as part of work responsibilities
  • Ability and willingness to transport owner to appointments and activities
  • Strong organizational and time-management skills
  • Excellent attention to detail
  • Professional communication skills
  • Ability to manage multiple priorities and changing demands
  • High level of discretion and confidentiality
  • Proficiency with Google Workspace and spreadsheets
  • Ability to work independently and follow through on responsibilities

Schedule Requirements

  • Typical start time between 9:00 a.m. and 10:00 a.m.
  • Full availability required on Mondays and Tuesdays
  • Additional weekday hours vary based on appointments and operational needs
  • Regular evening availability required
  • Occasional Saturday and Sunday availability required
  • Flexible scheduling is essential
