We’re currently looking for an executive assistant to be a supportive force who empowers our senior leadership. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Key Responsibilities:
- Manage, prioritize, and control the CEO’s calendar, appointments, and daily schedule to ensure alignment with strategic priorities.
- Act as primary gatekeeper to the CEO, reviewing and filtering meeting and communication requests, ensuring only relevant and high-priority matters reach the CEO.
- Answering or screening emails, calls and in-person appointments
- Draft, review, and prepare accurate and professional executive communication on behalf of the CEO, including emails, memos, internal correspondence, and external messages.
- Coordinate and organize high-level meetings with board members, regulators, strategic partners, ambassadors, and senior stakeholders, ensuring all logistics, agendas, and supporting documents are prepared in advance.
- Prepare concise briefing notes and supporting materials when required, ensuring the CEO has the necessary context and key points ahead of meetings.
- Track and monitor action items, decisions, deadlines, and follow-ups linked to the Office of the CEO, ensuring timely execution without requiring CEO intervention.
- Liaise with internal departments and external stakeholders to facilitate coordination and flow of information related to CEO priorities.
- Arrange and manage business travel, logistics, itineraries, visa, and protocol requirements, ensuring seamless end-to-end execution.
- Maintain strict confidentiality across all matters, handling sensitive information with discretion, integrity, and professionalism.
- Support the CEO in coordinating personal scheduling and logistics where necessary to ensure overall time efficiency and balance.
- Represent the CEO’s office with professionalism in communication, conduct, and follow-through, ensuring alignment with the organization’s standards and brand.
- Managing documents and confidential information with appropriate discretion
- Serving as the liaison between executives and internal/external partners
- Assisting with special projects by coordinating resources and tracking progress
- Provide direct executive support, including calendar and email management, travel coordination, and meeting arrangements.
- Serve as the central point of communication for internal teams and external stakeholders with a focus on professionalism and diplomacy.
- Oversee and coordinate all office administration tasks, including office supplies, vendor management, and facility needs.
- Supervise or assist support staff across business entities and ensure administrative processes are streamlined.
- Assist with preparation of reports, presentations, and correspondence across both businesses.
- Organize and manage internal meetings, events, and team communications.
- Monitor and follow up on key projects, action points, and business deadlines.
- Overseeing general office processes, such as ordering office supplies for departments or leading administrative support staff
- Maintain high levels of discretion and confidentiality in all dealings.
Qualifications:
- Minimum 5 years of experience supporting senior executives or C-level leadership in a corporate, or multinational environment.
- Strong written and verbal communication skills with the ability to draft and edit executive-level communication.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
- Proven ability to exercise discretion, maintain confidentiality, and demonstrate sound judgment in handling sensitive matters.
- Highly organized, detail-oriented, and reliable.
- Comfortable handling multiple responsibilities across different business units.
- Strong command of English (written and spoken); additional languages are a plus.
- Proficiency in Microsoft Office and general tech tools.
- High level of professionalism, interpersonal effectiveness, and stakeholder management capability.
- Strong problem-solving skills, proactive mindset, and the ability to anticipate needs before they arise.
- Proficiency in Microsoft Office Suite, calendar management tools, and modern communication platforms.
- Bachelor's degree preferred.
- Driver’s License is a must
