About the Opportunity
A private individual is seeking a highly organized, discreet, and dependable Personal & Executive Assistant to provide both professional and personal support in a dynamic, fast-paced environment based in Center City Philadelphia. This is a long-term opportunity for someone who enjoys creating structure, anticipating needs, and helping day-to-day operations run seamlessly.
The ideal candidate is proactive, adaptable, and solutions-oriented with a calm, low-ego approach. This role requires a high level of trust, discretion, and flexibility while supporting a busy principal across a variety of responsibilities.
Schedule

Monday–Friday, 8:30 AM – 5:30 PM (primarily in-person)

Occasional flexibility outside standard hours as needed
Key Responsibilities:
Executive & Administrative Support

Manage complex calendars, scheduling, and appointments

Organize and maintain email communications and inbox management

Coordinate meetings, reservations, and general administrative tasks

Assist with ongoing projects and day-to-day operational support
Personal & Household Coordination

Coordinate vendors, household services, and property maintenance
-
Assist with errands, returns, shopping, and personal logistics

Oversee upkeep and coordination for multiple residences as needed

Manage vehicle appointments, servicing, and related logistics

Support occasional family-related coordination
Travel & Logistics
-
Arrange and manage business and personal travel

Prepare organized itineraries and travel materials

Assist with logistics planning for additional travelers when needed
General Support

Handle a wide range of ad hoc requests with professionalism and efficiency

Anticipate needs and proactively problem-solve

Help maintain organization and operational flow across both personal and professional priorities
Qualifications:

Previous experience supporting C-suite executives, high-net-worth individuals, private households, or family offices strongly preferred

Proven ability to operate with discretion and confidentiality in high-touch environments

Strong organizational, communication, and multitasking skills

Self-starter with strong follow-through and sound judgment

Comfortable balancing shifting priorities in a fluid environment

Valid driver’s license and reliable transportation required
