<Job Summary>
Join our dynamic legal team as a Legal Intake & Office Support Specialist. In this dual-impact role, you will be the first point of contact for potential clients while ensuring the physical and digital efficiency of our office. You will engage with prospective clients to gather essential case information and coordinate with attorneys for a seamless intake process. Additionally, you will provide critical daily administrative support to our staff, managing document flow through scanning, shredding, and general task assistance. This position is ideal for a proactive, high-energy individual who enjoys a fast-paced environment and takes pride in keeping an office organized and responsive.
<Duties>
- Client Intake: Conduct initial interviews (phone/in-person) to gather detailed information about personal injury claims and assess eligibility based on firm criteria.
- Daily Office Support: Perform daily rounds of all staff member trays to collect, scan, and file documents into our digital management systems.
- Document Management: Execute secure shredding of confidential materials and maintain organized digital and physical filing systems.
- Mail Coordination: Perform a daily check of the physical mailbox to ensure no urgent physical correspondence has bypassed our virtual forwarding system. Collect, scan, and distribute any physical mail received.
- Administrative Tasks: Complete daily tasks according to the specific needs of attorneys and staff (e.g., preparing mailers, updating logs, or organizing exhibits).
- System Maintenance: Maintain accurate records in legal case management platforms (PCLaw, iManage, etc.).
- Case Coordination: Collaborate with the legal team to ensure timely follow-up on qualified leads and case progression.

- High-Volume Multitasking: Ability to switch quickly between sensitive client interviews and physical office tasks like scanning and shredding.
- Technical Proficiency: Skilled in using high-speed scanners and document management software (iManage, PCLaw, or similar).
- Attention to Detail: Meticulous approach to data entry and document organization to prevent file errors.
- Reliability: Disciplined about performing daily "office rounds" and mailbox checks without being prompted.
- Confidentiality: Strict adherence to legal ethics and privacy regarding the handling and disposal of sensitive documents.
- Communication: Excellent phone etiquette and a helpful, "can-do" attitude when supporting staff members.
Job Type: Full-time
Pay: $21.50 - $28.72 per hour
