Job Summary
The Personal Secretary to the CEO is responsible for providing comprehensive administrative and secretarial support to ensure the efficient operation of the CEO's office. The role requires excellent organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage and maintain the CEO's calendar, appointments, and meeting schedules.
- Coordinate internal and external meetings, including preparing agendas and meeting materials.
- Screen phone calls, emails, and correspondence on behalf of the CEO.
- Draft, edit, and prepare letters, reports, presentations, and other business documents.
- Arrange domestic and international travel, including flights, accommodation, visas, and itineraries.
- Take meeting minutes and track follow-up actions.
- Handle confidential information with the highest level of discretion.
- Coordinate with senior management, clients, partners, and stakeholders.
- Organize events, conferences, and executive functions as required.
- Maintain filing systems and ensure proper record management.
- Monitor deadlines and remind the CEO of important commitments and deliverables.
- Assist with personal tasks and special projects assigned by the CEO.
- Ensure smooth day-to-day operation of the executive office.
Qualifications and Requirements
- Female required.
- Bachelor's degree in Business Administration, Management, or a related field (preferred).
- Proven experience as an Executive Secretary, Personal Assistant, Executive Assistant, or similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Outstanding organizational and time-management abilities.
- Ability to prioritize tasks and work under pressure.
- High level of integrity, professionalism, and confidentiality.
- Strong attention to detail and problem-solving skills.
- Experience managing executive travel and schedules.
- Fluency in English; additional languages are an advantage.

Working Conditions
