Role Summary
Provide executive support to the CSO/Director while coordinating day-to-day tasks, follow-ups, communications, sales data analytics, travel plan bookings, and calendar/email management.
Key Responsibilities
Executive & Administrative Support
· Organize the CSO’s calendar; schedule meetings, calls, site visits, and travel/visas.
· Manage daily schedules and personal tasks related to company work, ensuring timely completion.
· Prepare concise summaries and meeting minutes with sales teams, suppliers, and customers; track action items to closure.
· Draft, format, and send professional whatsapps/emails on behalf of the CSO.
Sales, Marketing & Client Follow-up
· Structured follow-ups on projects, deadlines, and sales team Live Pool.
· Conduct online research on customers, competitors, market trends, and opportunities; compile findings into reports/presentations.
· Support sales & marketing tasks related to product lines and market segments
· Organize and be present in weekly Radar meetings with sales teams for followup.
· Work with PowerBI data to assist CSO with management reports and strategic info.
· Support in Organizing Sales End User Seminars, sales trainings and events.
Data, Reporting & Analytics
· Perform inventory analysis, followup actions to liquidate or repurpose slow-moving and Dead stock with BDM/Stores.
· Prepare and compile client satisfaction surveys and market trend surveys; analyze responses and present data to help decision-making for mgmt.
· Execute client market-segment restructuring and other data organizing tasks in ERP, ensuring clean and current data (MSD/Manzil/CRM)
· Assist with data analytics for Wilden AODD pumps and Quincy compressors service and parts business (e.g., tracking growth of service revenue, organizing trials and pump demos, capturing response time and other metrics to enhance client experience
· Proven efficiency in multi-tasking, follow-through, and time management.
· Excellent spoken and written English; clear, confident on phone and email.
· Strong MS Office skills: advanced Excel (pivot tables/lookups/basic charts), solid PowerPoint, and good Word formatting, and AI skills.
· Comfortable with online research and turning findings into crisp reports.
· Working knowledge of basic ERP/CRM or similar software (training can be provided).
· Detail-oriented with a high sense of ownership, confidentiality, and logical thinking
· Prior experience supporting sales leaders or operating in an industrial/mechanical equipment company is a plus.
· Proactive, solution-oriented, and comfortable handling sensitive information.
· Able to coordinate across sales, service, and other teams with tact and urgency.
· Willing to learn product terminology and processes related to mechanical products
