JOB SUMMARY:

Assist the facility administration in the operation of the facility through completion of facility tasks, via correspondence, meetings, and communication with both professional and non-professional staff.

RATE OF PAY: $18-$26 per hour based on experience

RESPONSIBILITIES:

With the assistance of the receptionist, they complete the following tasks:

Daily Tasks:

Team Member Related Tasks:

    • Manage Team Member Data base through Ultipro.
      • Enter evals, pay changes, etc.
    • Manage Worker Comp Claims:
      • Schedule safety meetings and complete light duty offers.
      • Complete OSHA forms/logs.
    • New Hires:
      • Process New Hires through Ulti
      • Set up new Team Members logins Ulti, PCC, HCS, Carespring University
      • Complete Fingerpints (FBI)
      • Employee Picture
      • Verify License
      • Manage nurse aide log (OH only)
      • OIG exclusion checks
      • Abuse Registry Checks (KY only)
    • Manage FMLA/GLOA:
      • Ensure all paperwork is complete.
      • Terminate Health Insurance,
      • Manage Health Insurance Payments
    • Complete Vacation/PTO
    • Maintenance of team member

Weekly:

  • Notification to Department Heads of current and past due items, such as, New Hire PPD’s, , Hepatitis B vaccination, annual performance evaluations, 90 day STNA evaluations, and other items not completed in the personnel file

  • Ultipro:
  • Review time sheets for receptionists, admission liaison, medical records, staffing coordinator.

Monthly:

  • Ensure Team Members complete insurance enrollment via Ultipro.
  • At a minimum monthly, submit annual evaluation list to Department Heads for evals due for upcoming month.
  • Carespring University
    • Review completion reports and updated department heads/staff as new course are due
  • Review facility team member insurance bill and correct any errors.
  • Physician Credentialing.
  • License Verification:
  • Review all licenses and update their verification.
  • Update Nurse Aide Registry online (OH only)
  • Systematically maintains Nursing Team Member files related to requirements of completion, i.e. Orientation Checklist, PPD results, Skills Checkoffs,and facilitiates completion of required in-services.

Other tasks:

  • Supervision of receptionist.
  • Set up appointments and meetings for the administrator.
  • Other items as directed by the Administrator

State Surveys:

  • Ensure state books are up to date on the units (Social Services does this) and front office.
  • Ensure all Team Member files are current and complete.
  • BCI log is current and accurate (OH only)

QUALIFICATIONS:

  • Ability to type 40 WPM.
  • Must be able to organize daily work and set priorities.
  • Ability to communicate with other staff effectively.
  • Ability to communicate effectively with family members and residents.
  • Must maintain a professional manner and appearance at all times.
