Job Summary
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and enthusiasm. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to facilitate efficient office management and executive support.

Duties

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate and organize events, conferences, and meetings from planning stages through execution to ensure seamless experiences.
  • Handle correspondence via phone, email, and other communication channels with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Perform data entry, bookkeeping, and basic accounting tasks utilizing QuickBooks to track expenses, invoices, and financial records accurately.
  • Provide executive administrative support including proofreading documents, transcribing audio files, preparing reports, and managing filing systems.
  • Oversee office management duties such as front desk responsibilities, filing, managing multi-line phone systems, and maintaining office supplies inventory.
  • Assist with project coordination by tracking deadlines, preparing presentations using Microsoft Office tools, and supporting team initiatives to ensure timely completion.

Qualifications

  • Proven experience as a Personal Assistant or in an administrative role with strong office management skills.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and data entry tools.
  • Experience with QuickBooks or similar bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Strong typing skills combined with transcription and proofreading abilities for high-quality document preparation.
  • Exceptional communication skills—both verbal and written—with a professional phone manner.
  • Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign.
  • Ability to handle sensitive information discreetly while maintaining a positive attitude and proactive approach.
