Landmark is currently hiring for a Pharmacy Administrative Coordinator to assist with the operations of the infusion pharmacy. This position will be responsible for pump management, assisting in the delivery area, and document processing. This position must report in-person, to our office in Irving, TX with the schedule being Monday through Friday 8:00am to 5:00pm.

The responsibilities include, but are not limited to:
Infusion Pump Management
- Oversee the inventory, tracking, and lifecycle management of infusion pumps and related equipment
- Coordinate pump allocation, retrieval, cleaning, maintenance, and preventative servicing
- Ensure proper documentation of pump distribution, returns, and patient assignments
Inventory & Supply Coordination
- Monitor inventory levels of pumps, supplies, and accessories; communicate needs for restocking
- Assist in managing vendor relationships and supply orders related to infusion equipment
Compliance & Quality Assurance
- Follow all applicable policies, procedures, and regulatory requirements (e.g., accreditation standards, safety protocols)
- Participate in quality improvement initiatives and help identify opportunities for process enhancements
Documentation & Record Management
- Scan, upload, and maintain accurate electronic records related to equipment, deliveries, compound records, and patient documentation
- Ensure all records are complete, organized, and compliant with regulatory and accreditation standards
- Support audit readiness by maintaining up-to-date and accessible documentation
- Maintain confidentiality and protect patient health information in accordance with HIPAA guidelines
- Process, sort, and sign for incoming mail and scan documents to the appropriate party
Delivery Team Support
- Assist the delivery team with daily scheduling and route coordination to ensure timely and efficient patient deliveries
- Support preparation of shipments by boxing medications, supplies, and infusion equipment in accordance with company and safety standards
- Ensure all delivery-related documentation (e.g., delivery tickets, logs) is complete, accurate, and properly submitted for processing
- Help manage inventory for delivery supplies, including packing materials, infusion supplies, and equipment; communicate restocking needs as appropriate
Phone & Communication Support Responsibilities
- Assist with answering incoming phone calls in a timely and professional manner, ensuring a positive experience for patients, providers, and internal staff
- Triage and route calls to the appropriate department (pharmacy, nursing, intake, billing, delivery) based on caller needs
- Take accurate and detailed messages, ensuring timely follow-up by the appropriate team member
Qualifications and Experience:
- Must possess a high-school diploma or equivalent.
- Previous experience in a home infusion setting, pump management, and/or healthcare operations is highly preferred
- Strong attention to detail with the ability to accurately manage documentation, records, and data entry
- Reliable attendance in-office and flexibility to support operational needs
- Excellent organizational and time management skills, with the ability to prioritize multiple tasks in a fast-paced environment
- Self-starter with a proactive, “go-getter” attitude and the ability to work independently with minimal supervision
- Ability to support multiple departments
- Strong communication and interpersonal skills, with the ability to interact professionally with patients, providers, and internal teams
- Basic understanding of healthcare compliance requirements (e.g., HIPAA) and commitment to maintaining patient confidentiality
- Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn pharmacy or EMR systems quickly
- Ability to identify problems, troubleshoot issues, and escalate concerns appropriately
- Physical ability to assist with handling equipment and supplies, including lifting and moving boxes or infusion pumps
