Main Responsibilities:

To generally manage sales function and purchases with a view to achieve a high degree of customer satisfaction, optimum inventory, ensuring the target profitability and adherence to the company policies and procedures.

1. Customer service:

· To ensure salesmen are properly trained to communicate with all types of customers and handle their queries.

· To assist salesmen and handle customers with a unique demand especially for products with available substitutes.

· To deal and address customer complaints especially regarding pricing, refund, exchange, return and Drug Rules.

· To ensure customer loyalty by providing efficient and effective services.

· Assurance of effective relationships with nearby hospitals and clinics.

· To ensure credit sale patients (if applicable) are handled as per company prescribed procedures and policies.

· To ensure issuance of products for clients as requested by panel company / doctor (if applicable) as per prescription and agreement with credit company’s administration.

· To train sales staff regarding ethics, professionalism, prescription reading/handling/filling, substitute search, customer handling, placement of products, racks management, counter presence and general mannerism.

· To ensure that in case of any returns, all inquiries should be forwarded to concern authority.

· To randomly asses the salesmen regarding performance, efficiency and effectiveness.

2. Sales administration:

· To ensure correct dispensing of products as per prescriptions or demand and proper prescription of bills by salesmen in the prescribed format.

· To ensure discipline, tidiness and appropriate dress by the sales staff and other staff in pharmacy.

· To promote flat items sales

· To ensure efficient Home delivery services.

· To maintain staff, inter branch relations and harmony.

· To plan marketing such as, doctor visits, promotional activities (Hand bills, Camping etc.)

· To assign and ensure that salesmen are cleaning the products shelves as per the prescribed schedule and handling methods.

· To ensure all sales are on cash basis as per the company policy and in case of credit sales the receivables are collected within due time as mutually agreed.

· To decide the shift schedule of the salesmen and make alternative arrangements in case a salesman is unavailable for the scheduled shift.

· To keep track of sales force performance and inform the Operations Head about their progress.

· To ensure preparation of running items / short stocks report by the senior sales officer and report to the manager for sales analysis.

· Control & to take necessary measures against pilferage as per the policy and procedure.

· To ensure regulatory affairs compliance.

· To ensure dispensation of manual discounts according to company policy.

3. Inventory management:

· To ensure that salesmen are monitoring the expiry date of the products and the expired / near expired products are placed in expired/ near expired medicine shelf/rack/cabinet as per the legal requirements.

· To supervise the activities of the inventory movement and provide guidelines for ordering and purchasing in consultation with the procurement manager/ warehouse manager.

· To ensure correct prescription of the demand list on the basis of shelf and inventory level of the products by the salesmen.

· To properly handle and store the main stock and special products in the pharmacy, To ensure that minimum, maximum and reorder level for products are set according to the product movement and reordering is done on the basis of data available from helping reports to minimize over / under stocking and proper inventory control.

· To check for availability of stock and decide about the order quantity for the warehouse. Also, to contact warehouse for order and the follow up.

· To ensure delivery of products received as per the purchase order, matching with invoice, and ensure salesmen are handling and placing the products in proper shelves/ racks/ stock area and the excess is sent to the warehouse with invoice / transfer validation.

· To ensure 100% FIFO policy.

· To ensure availability of top running items / out of stock products through warehouse / suppliers and closely monitor the movement of running items and maintain their inventory at all times.

· To inform warehouse for the return and replacement of expired medicines / dead stocks / slow moving items as and when required in time according intimation.

· To regularly monitor the variation in the prices and margin of sales and purchase of the products and inform competent authority for changes, also price updating in data base.

· To define the policy in consultation with operations head for the sale of tranquilizers and short stock products, on the basis of prescription only.

· To ensure inter-pharmacy transfer of products are as per the policy and with proper documentation and authorization and also to ensure that the warranty should be stamped and signed on each transfer note / validation.

· To ensure proper packaging and handling of outbound and inbound products for inter-pharmacy transfer.

· To ensure preparation of running item / short item stock status report by the pharmacy staff and report to the operations head for inventory analysis.

· To deal with free home delivery service staff and maintain record of products issued from the pharmacy for the purpose of payments and ensure the salesmen are preparing the cash memo as per the company policy.

4. Sales promotion:

· To frequently visit doctors for higher prescription flow and assessment of customer reaction to the provided services.

· To make presentations and demonstrate the diagnostics / consumer products and clearly explain the products features. To train salesmen for such presentations and demonstrations.

· To organize and implement sales promotion activities as per the company policies.

5. Pharmacy management:

· To ensure a clean and hygienic environment in the pharmacy at all times.

· To ensure proper placement of products in shelves as per their requirement and policies.

· To maintain ergonomic layout of the shelves and products in consultation with operations head.

· To co-ordinate with maintenance department or any other department as per requirements.

· To ensure air conditioning is working properly as per company policy and temperatures are monitored and maintained to standards.

6. Audits:

· Pharmacy manager, in co-ordination with an internal auditor does audits on a regular basis.

· Pharmacy manager should also ensure that random audits are done and a proper record is kept on daily basis of running / expensive products.

· Pharmacy manager is responsible for all kinds of pilferage (audit less, expiry, damage, etc) in the pharmacy.

· Pharmacy manager must take hand over from previous manager after his complete satisfaction, once he gives signatures on the hand over audit all responsibilities will be shifted to him. Similarly, for new pharmacy when he gives receiving on first purchase invoices, he will be responsible for all pharmacy assets.

· For manager who have resigned, must gives hand over to next manager and take signature on final audit hand over sheet from next manager, he will be responsible of all pharmacy assets until new pharmacy manager took hand over and given signature on hand over documents.

7. Accounts / MIS:

Pharmacy manager would be responsible for providing the following reports on a daily, weekly or monthly basis (as required) to the head office.

· Daily sales report

· Daily purchase report

· Number of customers

· Comparison of cash sales with computer purchase on a daily basis and report to operations head/managing director on weekly/bimonthly / monthly as per scheduled meetings.

· Maintain attendance log/conduct log of staff on weekly basis and report to operations head.

· Maintenance of monthly staff salary detail of responsible branch.

· Overtime verification should send to head office within 2 days of the overtime done.

· Evaluation / performance report of staff by this post should do every month / quarterly basis and send its report to operations head for record.

Special responsibilities:

· To train salesmen and motivate them for improved performance and learning.

· To motivate staff and retain good members only.

· To successfully complete any other assignment given by operations head/ senior management.

· To ensure and monitoring security parameters.

· CCTV record monitoring on daily basis.

· Pharmacy manager is responsible for pharmacy management 24 hours and 365 days, but his duty hours will be 10 Hours.

Job Type: Full-time

Pay: Rs90,000.00 - Rs130,000.00 per month

Ability to commute/relocate:

  • Lahore: Reliably commute or planning to relocate before starting work (Preferred)

Experience:

  • Pharmacy Branch Manager: 5 years (Required)
