Pharmacy Department Incharge & Manager – Roles and Responsibilities1. Departmental Leadership & Supervision
- Oversee day-to-day operations of the Pharmacy Department.
- Ensure all pharmacy activities comply with hospital policies, NABH standards, and statutory regulations.
- Supervise pharmacists, assistants, and support staff, ensuring optimal staffing and duty roster management.
- Maintain discipline, punctuality, and professional behavior among team members.
2. Drug Procurement & Inventory Management
- Monitor stock levels, expiry dates, and consumption trends of medicines and consumables.
- Coordinate with the Purchase and Store Department for timely procurement of drugs.
- Ensure availability of essential medicines, emergency drugs, and life-saving drugs at all times.
- Implement inventory control systems to reduce wastage and pilferage.
- Maintain accurate records of stock receipt, issue, and return in HMIS or manual registers.
3. Quality Assurance & Compliance
- Ensure all drugs are stored under proper temperature and safety conditions.
- Verify prescriptions for correctness and legality before dispensing.
- Implement and monitor adherence to NABH and hospital quality protocols.
- Conduct periodic audits of stock, expiry, and controlled drugs (Schedule H, H1, X).
- Maintain records as per Drug Control Authority and hospital standards.
4. Patient Care & Service Excellence
- Ensure timely dispensing of medicines to inpatients, outpatients, and wards.
- Counsel patients on dosage, side effects, and storage of medicines when required.
- Coordinate with doctors and nursing staff for special or restricted medicines.
- Maintain confidentiality and ethical standards in all pharmacy operations.
5. Financial & Administrative Responsibilities
- Monitor daily sales, billing, and cash reconciliation.
- Prepare monthly consumption and cost reports for management review.
- Manage indents, purchase orders, and return of near-expiry or excess stock.
- Support management in cost-control initiatives and vendor negotiations.
6. Training & Development
- Conduct regular training sessions for pharmacy staff on new drugs, hospital protocols, and safety measures.
- Ensure proper orientation for newly joined pharmacy personnel.
- Keep updated with the latest trends, drug updates, and legal requirements.
7. Coordination & Communication
- Liaise with hospital departments, consultants, and administration for smooth functioning.
- Attend management meetings and provide periodic updates on pharmacy operations.
- Address and resolve complaints or issues related to drug availability or dispensing.
8. Safety & Legal Responsibilities
- Ensure all controlled drugs are managed as per legal requirements.
- Report any medication errors or adverse drug reactions to the concerned authority.
- Maintain fire safety, cleanliness, and infection control standards in the pharmacy area.
