Job Title: Phone Receptionist Part-Time
Job Summary:
The primary responsibility for the Phone Receptionist for Pauline Books and Media & Daughters of St. Paul is to promote the Gospel message by determining the caller’s needs and promptly connect them to their destination. The Phone Receptionist is to show a genuine concern and desire to serve each person who calls.
Reports Directly To: Sr. , Supervisor
SPECIFIC ACTIVITIES:
1. Answers all telephone inquires in a professional friendly manner.
2. Promptly connects the caller to department or designated person using one or more of the following methods:
a. By transferring the caller to the designated phone extension
b. By sending a text message to the person’s cell phone
d. By taking a written message from the caller if unable to locate the designated person &/or leaving a message on their voicemail.
3. Takes accurate messages containing the name and phone number of the caller when unable to locate the designated person.
4. Daily reviews the phone directory provided to enable her to more efficiently direct calls.
5. Review throughout the day the listing of sisters on the in-and-out board, noting any important changes that will assist in the quick connection of callers to proper destination.
6. Directs all deliveries to the proper door or dock and notifies the department accepting the shipment.
7. Operates the electronic gate to let in delivery trucks.
8. Answers the door for house callers, postal and other deliveries.
9. Puts package deliveries from Amazon and USPS, UPS, Fed-Ex, etc. in the community room.
10. Notifies recipients per text message of their deliveries.
11. Notifies sisters or staff of visitors, ascertaining where to direct them.
12. Makes sure that visitors sign the visitor register, both when they come in and before they go out.
13. Understands that his or her performance reflects the Pauline team’s performance.
14. Dresses in professional attire according to the standards in the Pauline Policy Manual.
15. Maintains confidentiality regarding all PBM and convent operations.
16. Follows the direction of the supervisor with minimal supervision.
17. Performs any other task as indicated by the supervisor.
QUALITIES AND SKILLS:
- Organized and creative regarding use of time.
- Ability to handle a regular volume of telephone calls.
- Professional in manner, pleasant telephone skills.
- Grammar and reading skills (High School Level).
- Capable of Following Directions.
- Able to Multi-task
- Appropriate communication and social skills.
- Capable of handling change as updates arise
- Computer Skills
- Basic knowledge of how to access e-mails and use the internet.
Pay: $20.00 - $21.00 per hour
