Position Overview

The Front Desk Administrator plays an important role in the day-to-day operations of our busy outpatient physical therapy clinic. This position focuses primarily on front desk responsibilities including scheduling, patient communication, insurance coordination, and maintaining an organized office environment. The ideal candidate is friendly, detail-oriented, and able to multitask in a fast-paced healthcare setting. Spanish-speaking candidates are strongly preferred.

Key Responsibilities

  • Schedule and manage patient appointments efficiently
  • Answer phones and respond to patient questions professionally
  • Greet and check in patients while ensuring paperwork is completed accurately
  • Collect co-pays and process payments
  • Coordinate with insurance companies and billing staff regarding benefits and authorizations
  • Manage clinic email and assist with general office communication
  • Maintain office supplies and front office organization
  • Help create a welcoming, positive experience for all patients

Clinic Support

  • Maintain cleanliness and organization of treatment areas
  • Assist therapists and staff with general clinic flow as needed
  • Prepare treatment areas and equipment between patients
  • Support a smooth and efficient patient experience throughout the clinic

Qualifications

  • Spanish speaking is highly preferred, but not required
  • Prior experience in customer service, medical offices, or healthcare settings is a plus
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Comfortable working in a fast-paced environment
  • Positive attitude and strong attention to detail
  • Ability to work well with diverse patient populations
