Physical Therapy Front Desk Receptionist / Aide

CTOA Physical Therapy is seeking an experienced and professional Front Desk Receptionist to join our growing team. This position is ideal for someone who thrives in a fast-paced healthcare environment and has previous experience working in a medical or physical therapy office.

The ideal candidate will have strong customer service skills, experience verifying insurance benefits, scheduling patients, and managing front office operations. We are looking for someone who is organized, detail-oriented, dependable, and able to provide an exceptional patient experience from the moment patients enter our clinic.

Required Qualifications

  • Minimum 1 year of medical front office or physical therapy clinic experience
  • Previous experience verifying insurance eligibility and benefits
  • Knowledge of PPO, HMO, Medicare, Workers' Compensation, and authorization processes
  • Strong computer skills, including Microsoft Word, Excel, and electronic medical record systems
  • Excellent communication, customer service, and phone etiquette
  • Ability to multitask and work efficiently in a busy clinic environment

Primary Responsibilities

  • Greet and check patients in and out for appointments
  • Verify insurance eligibility, benefits, and patient responsibility
  • Obtain and track insurance authorizations as needed
  • Schedule and confirm patient appointments
  • Answer and manage multi-line phone systems
  • Collect copayments, deductibles, and outstanding balances
  • Maintain accurate patient records and perform data entry
  • Coordinate communication between patients, providers, and insurance companies
  • Maintain a professional, welcoming, and organized reception area
  • Assist with general administrative duties to support clinic operations

Secondary Responsibilities

  • Provide limited back-office support as needed
  • Assist physical therapists and therapy staff with non-clinical tasks under appropriate supervision
  • Support clinic workflow and patient care coordination
