Job Title: Physical Therapy Office Coordinator

Reports To: Physical Therapy Front Office Manager

Job Summary: Greets, instructs, and directs patients and visitors. Available to answer phone, schedule physical therapy appointments, assist in verifying benefits, and obtain authorizations.

Essential Functions and Responsibilities:

  • Answers phones and greet patients as they arrive.
  • Checks patients in and out, assist with kiosk.
  • Schedules, coordinates, and reschedules patient appointments.
  • Fax records for Workers’ Compensation and update visit information for carrier.
  • Verify insurance benefits, reason codes, enter and verify patient demographics.
  • Prepare outcome measures for new patients.
  • Ensures all therapy orders are in system.
  • Verifies insurance benefits, reason codes, enter patient demographics into EMR system (eCW).
  • Obtains all insurance authorizations, including workman’s comp and private insurances.
  • Notifies patients of authorization status and payment information.
  • Balance cash drawer daily along with daily report of payment collections.
  • Assists with coverage of other offices as needed.
  • Maintains waiting room.
  • Performs other related duties as required.

Education:

  • High school Diploma or GED required.

Work Experience:

  • Customer Service experience preferred.
  • One year experience in a healthcare setting preferred.

Licensure, Registration and/or Certification: None.

Knowledge, Skills, and Abilities:

  • Knowledge of health insurance and medical terminology preferred.
  • Adherence to strict confidentiality/HIPAA compliance.
  • Strong computer skills.
  • Able to collaborate with others and work independently when needed.
  • Excellent communication skills.
  • Ability to communicate professionally, clearly, and courteously with patients, co-workers, and others.
  • Ability to establish and maintain effective working relationships with physicians, staff, and the public.

Working Conditions:

  • Work is performed in a medical office setting.
  • May be exposed to communicable diseases, toxic substances, ionizing radiation, medical preparations, biohazards, bodily fluids, and other conditions common to a clinic setting.
  • Involves frequent contact with staff and the public.
  • Contact involves dealing with sick persons.
  • Interaction with others may be constant and interruptive.
  • Work may be stressful at times.
  • May involve dealing with angry or upset individuals.
  • May periodically work outside of regular work hours.

Physical Requirements:

  • Requires sitting for long periods.
  • Requires viewing computer screen and typing for long periods.
  • Requires normal physical strength to exert up to 30 pounds of force occasionally and/or up to 10 pounds of force frequently to move objects.
  • Requires average physical agility, which includes stooping, bending, and stretching to access files and supplies.
  • Requires normal concentration regarding complexity and timeliness of decision making.
  • Requires standard memory, taking into consideration the amount and type of information involved.
  • Average visual acuity necessary to prepare or review documents or operate equipment.
  • Ability to speak, frequently conveying detailed or important information or ideas accurately.
  • Ability to hear everyday speech, both in person and on the telephone.
  • Ability to accurately type, write, and use general office equipment.
