Position Summary:
The Physician Onboarding Specialist supports the successful transition of physician hires by coordinating onboarding activities, overseeing pre-employment requirements, and ensuring readiness for start dates. This role collaborates with internal teams and external stakeholders to maintain timelines, streamline communication, and deliver a seamless onboarding experience.
Job Duties & Essential Functions:
Recruitment Support & Coordination
- Partner with external recruiters and agencies to support physician and clinical hiring efforts
- Post job vacancies and follow up on candidate submissions
- Schedule and coordinate onsite interviews and site visits
- Maintain consistent communication with candidates to ensure engagement and timely progression through the hiring process
- Oversee and process all recruitment-related bonuses, including but not limited to physician referral, employee referral and Stay & Thrive bonuses
Onboarding & Pre-Employment Management
- Initiate and manage all pre-employment and onboarding activities for new hires
- Partner with internal teams to ensure completion of all pre-employment requirements, including credentialing, and coordinate with candidates to obtain required documentation within established timelines
- Ensure and track the completion of all onboarding documentation and milestones prior to the start date.
- Monitor onboarding progress within HRIS (UKG) and related systems, ensuring accuracy and compliance
- Maintain and update new hire records, rosters, and tracking tools
- Verify completion of I-9 documentation and employment eligibility requirements
Process Coordination & Stakeholder Partnership
- Act as a liaison between Human Resources, physician recruitment, external agencies, and operational leadership (e.g., Regional Operations Managers)
- Coordinate with internal stakeholders to ensure all logistics are in place for new hires’ first day
- Monitor start dates and conduct check-ins with candidates leading up to onboarding
- Ensure all first-day readiness requirements are met
- Provide guidance and support to candidates throughout the onboarding process, ensuring a smooth and positive transition
- Maintain a high level of responsiveness and professionalism in all communications
- Additional duties as required
Required Qualifications:
- Bachelor’s degree required
- 3+ years of recruiting experience, preferably supporting clinical or physician hiring
- Strong time management and organizational skills with the ability to manage multiple priorities
- Excellent verbal and written communication skills
- High level of attention to detail and follow-through
- Experience with HRIS systems
- Ability to work flexible hours, including evenings, to accommodate candidate availability
Work Schedule:
Salary Range:
- $80,000 to $85,000 commensurate with experience
