Overview
Join our team as a Planning Board Assistant, where your organizational skills and administrative expertise will play a vital role in supporting community planning initiatives. This paid position offers an opportunity to contribute to the efficient operation of the planning board, code enforcement officer and appeals board document management for the town of Sweden, Maine
Duties
- Provide comprehensive administrative support to the planning board, CEO and appeals board.
- Assist in preparing agendas, compiling reports, taking meeting minutes and proofreading documents for accuracy and clarity.
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office.
- Enter data accurately into databases such google drive , word and other relevant software, ensuring records are up-to-date and filed accurately
- Coordinate with team members to ensure timely completion of tasks, demonstrating excellent time management and organizational skills
Requirements:
Municipal experience preferred but not required
- Associate’s degree and/or at least three (3) years of administrative experience
- Proven office management or administrative experience, preferably within a municipal or governmental setting but not required.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks efficiently and independantly.
- Demonstrated clerical experience including filing, proofreading, calendar management, and planning board and CEO support responsibilities.
- Familiarity with office equipment such as fax machines, scanners, and photocopiers is preferred.
