Overview
The Planning & Impact Specialist supports meaningful community impact by helping the Planning & Impact team stay organized, responsive, and effective. This role coordinates meetings and logistics, supports grant administration and grantmaking processes, maintains accurate data and records, and provides administrative support across several initiatives. The ideal candidate is highly organized, detail-oriented, comfortable managing multiple priorities, and excited to contribute to work that strengthens the Jewish community in Greater Pittsburgh.
Essential Job Functions
· Coordinate recurring and one-time meetings, including invitations, scheduling, calendar management, room setup, Zoom/Teams arrangements, and follow-up support.
· Manage outgoing grant administration, including payment processing, paperwork tracking, agreements, deadlines, and award letter preparation.
· Maintain and update information in organizational systems, including CRM records, meeting attendance, contact lists, and grant-related data.
· Serve as a resource to Planning & Impact staff by supporting data integrity, reporting needs, and efficient use of internal systems.
· Provide switchboard coverage and help ensure timely responses to incoming calls.
· Assist with annual publications, administrative components of special programs, and additional projects as assigned.
Qualifications
· High school diploma and at least 3 years of experience in a similar administrative, coordination, or operations role, or a bachelor’s degree.
· Strong written and verbal communication skills.
· Excellent organizational skills and close attention to detail.
· Ability to manage multiple priorities and deadlines in a fast-paced environment.
· Proficiency with Microsoft Office, including strong Excel skills, and familiarity with SharePoint.
· Experience with meeting coordination and virtual meeting platforms such as Teams and Zoom.
· Comfort working with databases, CRM systems, and other administrative technology tools.
· Professionalism, discretion, and a strong understanding of confidentiality.

Pay: $39,316.00 - $56,166.00 per year
