About This Role
LSM Heating Plumbing Electric is seeking a highly dependable, organized, and tech-forward Plumbing Operations Administrator to support the daily operations of our plumbing department.
This is not an entry-level office position. You will work alongside department leadership, field technicians, dispatch, and customers to keep the plumbing department organized, accountable, and moving forward. The right person becomes the operational backbone of the department — the one who catches what falls through the cracks.
We are specifically looking for someone who is detail-oriented, emotionally steady, solutions-focused, and comfortable holding their own in a fast-moving trades environment with strong personalities. If you thrive on creating structure in places where it doesn't yet exist, this role was built for you.
What You'll Do
- Be in charge of dispatching, scheduling, and technician coordination across service and project workflows
- Help organize and manage daily department workload, priorities, and communication flow
- Support department leadership with operational coordination, follow-through, and accountability
- Manage work orders, billing support, job documentation, and administrative accuracy
- Coordinate communication between technicians, customers, vendors, office staff, and management
- Track open items, outstanding commitments, and job progress — and actively prevent things from being dropped
- Utilize Microsoft Office Suite, Microsoft 365, and AI-based tools to improve workflow, organization, and communication
- Help develop and maintain structured processes and department procedures
- Handle customer communication professionally, calmly, and with follow-through
- Act in the best interest of LSM by protecting operational accuracy, communication quality, and customer experience
What We're Looking For
Non-Negotiables:
- Extremely dependable attendance and punctuality — this is the most important thing we ask

- Calm and professional under pressure — not easily rattled by strong personalities or shifting priorities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Comfortable learning software systems and AI-based productivity tools (Claude, ChatGPT, etc)
Strongly Preferred:
- Prior experience in dispatching, construction, plumbing, HVAC, or service industry operations
- 4+ years Office management, operations coordination, or administrative leadership experience
- Comfort working with field technicians and tradespeople
- Experience holding people accountable in a professional, respectful way
- Tech-forward mindset — curious about tools, systems, and process improvement

Details, Compensation & Benefits
- Position is full-time Monday – Friday 7:00 am – 4:30 pm
- Competitive pay based on experience (starting $28 - $32 per hour)

Pay: $28.00 - $34.00 per hour
