ANNOUNCEMENT OF POSITION VACANCY


SUMMARY: The Advising Specialist reports to the Assistant Vice President for Academic Engagement and Success and plays a significant role in the administration, coordination, and implementation of grant-funded programs and transfer services at Cal Poly Pomona (CPP). Focusing on transfer outreach and pre-transfer engagement, this position will work closely with Region 9 community colleges to connect prospective transfer students with the resources and support needed to navigate the transfer process.

This is a temporary assignment up to August 31, 2028.


SOME OF THE THINGS THAT YOU WILL GET TO DO (this is just a small sampling of work variety):

  • Collaborate with Inland Empire/Region 9 internal and external partners to achieve grant goals, collect and

compile data on activities, and produce required reports.

  • Plan, develop, coordinate, and assess community college programs that support Inland Empire Transfer Success
  • Initiative goals, including transfer-focused outreach, workshops, PolyTransfer Advantage programming, and

pipeline activities from Region 9 community colleges to CPP.

  • Maintain program calendars, activity records, and participant data to support grant deliverables, reporting, and evaluation needs.
  • Communicate effectively, both verbally and in writing, with CCC and CPP partners—including counselors,

administrators, staff, students, families, and community organizations—to support successful transfer pathways.

  • Co-lead and coordinate PolyTransfer Advantage Program and PolyTransfer Academy activities, building and

sustaining partnerships with Inland Empire community colleges and CPP stakeholders.

  • Collaborate with campus partners to enhance programs and services that support transfer student success,

retention, and graduation, with emphasis on students from Inland Empire/Region 9 community colleges.

  • Collaborate and coordinate campus visits and on-campus experiences in partnership with OREP and CCC

collaborators; develop agendas tailored to the needs of Inland Empire transfer-intending students and special

populations.

  • Create and deliver training materials and presentations for counselors, educators, students, and families on

Associate Degree for Transfer, Transfer Success Pathway, CSU admission guidelines, financial aid, and campus

resources; support implementation of a “train-the-trainer” model for Region 9 counselors.

  • Organize virtual and in-person outreach and educational presentations for Inland Empire community colleges

and partner organizations.

  • Engage CCC students through culturally empowering programming and referrals, with a focus on supporting

historically underserved populations and those disproportionately impacted by educational or economic

disruptions.

  • Collaborate with the PolyTransfer team on developing and implementing the PolyTransfer Advantage Summer

Academy, PolyTransfer Summer Transition Program, and other transfer initiatives, with the goal of increasing

Inland Empire/Region 9 participation.

  • Recruit, train, evaluate, and supervise student leaders and mentors who support transfer-intending and newly

admitted transfer students.

  • Provide individual and group pre-transfer advising for students at Inland Empire/Region 9 community colleges

and for prospective CPP transfer students.

  • Maintain comprehensive knowledge of CPP resources, admissions, financial aid, and articulation, as well as

general knowledge of CCC resources and Region 9 college structures, to provide effective student support.

  • Support the Associate Vice President for Student Success and the Assistant Vice President for Academic

Engagement and Success with OSS-wide and grant-related activities, including coordinating cross-unit Inland Empire initiatives.

  • Assist with assessment and evaluation activities, including survey dissemination, data collection, analysis, and reporting on participation, outcomes, and grant metrics.
  • Participate actively in Office of Student Success (OSS) and Academic Engagement and Success (AES) team

meetings, contributing to discussions, planning, and cross-unit student success initiatives.

  • Plan and coordinate meetings with CCC and CPP partners, including Regional Transfer Success Task Force

convenings and other Inland Empire-focused collaborations.

  • Provide regular updates on Inland Empire Transfer Success Initiative activities through data collection, tracking,

and reporting, in collaboration with Institutional Research and other campus partners.

  • Support multilingual outreach activities, workshops, and presentations—collaborating with bilingual or

multilingual staff, student leaders, or interpreters as needed—to effectively engage students and families

throughout the Inland Empire.

  • Serve on committees and project teams; record, transcribe, and distribute minutes, and follow up on action

items as needed.

  • Perform other duties as assigned.
  • Ability to adhere to a regular work schedule, which may include evenings and weekends.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree or the equivalent from an accredited four-year college or university in one of the behavioral sciences, public administration, business administration or a job-related field and two years of professional experience in one of the student services program areas or a related field.
  • A master’s degree in a job-related field may be substituted for one year of professional experience.
  • Additional specialized and relevant experience may be substituted for the required education on a year-for-year basis.
  • Must have the ability to travel to additional locations within 50 miles from the workplace

KNOWLEDGE, SKILLS AND ABILITIES:

  • Thorough knowledge of the principles of individual and group behavior.
  • General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned.
  • Working knowledge of student services programs outside the program to which immediately assigned.
  • Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student-related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.
