Position Title: Post-Award Grant Manager – Federal & State Grants for Municipal Clients (3+ Years Experience Required)

Type: Part-time hourly, 30+ hours/week

Location: California preferred. Remote within the U.S.; availability during Pacific Time business hours required.

Compensation: Competitive hourly compensation based on experience and qualifications. Most candidates hired for this role fall within the $30–$45/hour range.

We are seeking an organized, detail-oriented, and highly motivated Post-Award Grant Manager to join our Grant Management Department. This role supports municipal clients in the administration, compliance, reporting, reimbursement, and financial management of federal and state grant-funded projects.

This is a post-award grant management position. The Post-Award Grant Manager is responsible for activities that occur after grant funding has been awarded, including grant compliance, grant reporting, budget monitoring, reimbursement requests, audit readiness, and ongoing grant administration.

The Post-Award Grant Manager serves as a trusted advisor to municipal clients, helping them successfully manage grant-funded projects throughout the entire grant lifecycle while maintaining compliance with federal, state, and grantor agency requirements.

Our team has never received a grant audit finding, and we expect successful candidates to maintain that standard of excellence through strong project management, financial management, organization, and attention to detail.

Post-Award Grant Management Responsibilities

  • Review grant applications, grant agreements, award documents, and compliance requirements to ensure successful post-award grant administration.
  • Establish and maintain project schedules, compliance calendars, reporting schedules, and grant management tracking tools.
  • Monitor grant compliance requirements and ensure grantees meet all reporting deadlines, reimbursement deadlines, and program obligations.
  • Advise and guide municipal clients throughout the post-award grant lifecycle, serving as a trusted resource on grant administration and compliance matters.
  • Monitor grant budgets, expenditures, reimbursement requests, and grant-funded project activities to ensure compliance with federal and state grant requirements.
  • Work closely with client staff to identify, resolve, and proactively prevent grant compliance issues.
  • Prepare and submit grant compliance reports, financial reports, reimbursement requests, budget amendment requests, invoices, and other post-award grant administration documentation required by grantor agencies.
  • Communicate amended schedules, budgets, reporting requirements, and compliance obligations to client staff and project stakeholders.
  • Create and maintain detailed grant files, financial records, and supporting documentation to ensure audit readiness and compliance with grantor requirements.
  • Serve as the primary liaison between grantor agencies and municipal clients regarding grant administration, reporting, compliance, and reimbursement matters.
  • Establish and maintain professional working relationships with client staff, grantor agencies, and third-party consultants involved in grant-funded projects.

Post-Award Grant Management Skills & Professional Qualifications

  • Extremely high standards for quality, accuracy, and attention to detail across all grant management, compliance, reporting, and documentation activities.
  • Excellent organizational, written, verbal, and interpersonal communication skills.
  • Strong project management and time management skills, with the ability to manage multiple grant-funded projects, reporting deadlines, and client priorities simultaneously.
  • Excellent analytical, critical-thinking, and problem-solving skills with the ability to interpret complex federal and state grant regulations, grant agreements, and compliance requirements.
  • Ability to proactively identify compliance risks, resolve grant administration issues, and implement corrective actions when needed.
  • Comfortable managing multiple requests and priorities from municipal clients, grantor agencies, consultants, and internal team members.
  • Ability to establish trusted working relationships with client staff, funding agencies, and project stakeholders.
  • Strong financial management skills, including experience monitoring grant budgets, expenditures, reimbursements, and financial reporting requirements.
  • Proficient in Microsoft Office applications, grant management systems, digital collaboration platforms, and other technology tools used to support post-award grant administration.
  • Comfortable using AI-assisted tools to support grant administration, compliance review, document analysis, reporting, research, workflow efficiency, and quality control while maintaining professional judgment and accuracy.

Required Post-Award Grant Management Qualifications

  • Minimum of 3 years of professional experience in post-award grant management, grant administration, grant compliance, grants accounting, reimbursement management, or closely related federal or state grant-funded programs.
  • Experience managing federal and state grant compliance requirements, reporting obligations, reimbursement requests, budget amendments, and grant monitoring activities.
  • Experience interpreting and applying grant agreements, program guidelines, grantor requirements, and regulatory compliance standards.
  • Experience preparing compliance reports, financial reports, reimbursement requests, audit documentation, and other post-award grant administration records.
  • Strong understanding of grant lifecycle management, including compliance tracking, reporting deadlines, documentation requirements, and audit readiness.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Professional written and verbal communication skills with the ability to work effectively with municipal clients, funding agencies, and project stakeholders.
  • Excellent organizational and time-management skills with the ability to manage multiple grant-funded projects and competing priorities simultaneously.
  • Ability to work independently in a remote environment while maintaining consistent communication and collaboration with team members.

Preferred Post-Award Grant Management Qualifications

  • Experience working with municipalities, local government agencies, transportation agencies, public works departments, transit agencies, housing programs, public safety programs, or other publicly funded organizations.
  • Familiarity with California state funding agencies, grant programs, and compliance requirements.
  • Experience supporting federally funded transportation, infrastructure, housing, community development, public health, or public safety projects.
  • Experience participating in grant audits, monitoring reviews, compliance reviews, or grant closeout activities.
  • Experience using grant management software, compliance tracking systems, reimbursement systems, or financial management platforms.
  • Familiarity with AI-assisted tools used to support compliance review, document analysis, reporting, workflow automation, and grant administration processes.

  • Ability to work efficiently, professionally, and independently in a remote work environment while maintaining consistent communication and collaboration with team members.
  • Reliable high-speed internet connection and a quiet, distraction-free workspace suitable for professional video meetings and client calls.
  • Professional presence and communication skills in virtual meetings conducted through Microsoft Teams and other online collaboration platforms.
  • Ability to work standard Pacific Time business hours and participate in scheduled team meetings, client meetings, and collaborative review sessions.
  • Access to a PC-compatible work environment with proficiency using Microsoft Office applications.
