JOB SUMMARY:

As a Practice Administrator you are responsible for managing daily operations, providing oversight and supervision of all aspects of the front desk, clinical, and doctors’ coordination. The position is responsible for ensuring the maintenance of a quality eye care facility and providing the immediate supervision and training of all departments. The Practice Administrator serves as an engagement ambassador between patients and staff.

RESPONSIBILITIES:

· Overviews operations of the practice.

· Working closely with physicians to enhance the clinic flow and patient experience.

· Provide training, guidance, and support to new associates.

· Manage office budget.

· Upkeep payment of office bills.

· Annual reviews for department managers/employees.

· Implementing and maintaining procedures/office administrative systems.

· Delegate necessary tasks to subordinates.

· Collect cash/check batches from office daily.

· Schedule meetings with Department managers. (As needed)

· Adjust time clock correction and submit Payroll by due date and time.

· Monitor employee overtime weekly.

· Point of contact for all practice employees.

· Work closely with the staff to assure patients are receiving excellent customer service.

· Assist with doctor, staff and administrative tasks including emails, calls and text messages.

· Patient Complaints- Ensure patient satisfaction including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.

· Any other task Administrator request

QUALIFICATIONS/SKILLS

· Supervising experience of managerial experience in a medical office, optical practice and/or as a practice manager healthcare administration.

· Strong ability to manage multiple projects simultaneously.

· Independent judgment and critical decision making in all aspects of front desk.

· Moderate knowledge of medical and ophthalmic terminology.

· Exceptional communication and interpersonal skills.

· Strong computer literacy

· Establishes, motivates, maintains an effective team working environment.

· Unceasing respect and regard for the dignity of all patients, visitors, and fellow employees to ensure a professional and courteous environment.

· Highly organized, proactive, attentive to details and goal oriented.

· Ability to work with large data sets with guidance from medically trained individuals.

· Ability to prioritize and carry out work assignments independently and efficiently.

· Ability to work independently and be self-directed and flexible.

· Advance understanding of medical terminology and diagnoses knowledge

· Excellent communication skills, both verbal and written.

· Proficient computer skills

· Strong level of confidentiality due to the sensitivity of materials and information handled.

· In-depth knowledge of industry best practices

· Basic math and accounting skills

· Understanding of industry-specific policies, such as HIPAA regulations for health care. · · Maintain a high level of integrity and confidentiality of patient medical information, team member and employer confidentiality.

· Comply with all HIPAA regulations.
