POSITION OVERVIEW
Axis Psychiatry is a thriving outpatient psychiatric practice providing high-quality mental health services including in-office and telepsychiatry care to adult patients across Nevada. We are seeking an experienced and highly organized Practice Manager to serve as the operational backbone of our clinic. This is a contractual, full-time position offering the opportunity to play a pivotal role in the day-to-day management and long-term growth of a mission-driven psychiatric practice.
KEY RESPONSIBILITIES
Administrative Operations
- Oversee daily clinic operations to ensure efficient, compliant, and patient-centered workflow
- Manage scheduling, patient intake processes, and appointment coordination for in-office and telepsychiatry visits
- Maintain accurate and confidential patient records in compliance with HIPAA regulations
- Serve as the primary point of contact for administrative inquiries from patients, vendors, and external providers
- Manage office supplies, equipment, and facility needs
Billing & Revenue Cycle Management
- Oversee medical billing processes including CPT and ICD-10 coding accuracy, claims submission, and follow-up
- Coordinate with billing staff or third-party billing companies to ensure timely reimbursement
- Monitor accounts receivable and address insurance denials and appeals in a timely manner
- Manage credentialing, payor enrollment, and contract maintenance for insurance panels including Medicaid and Medicare (PECOS)
- Track and reconcile revenue reports and provide regular financial summaries to the medical director
Human Resources & Staff Coordination
- Support onboarding and offboarding of clinical and administrative staff and employees
- Maintain personnel files and ensure compliance with employment agreements and applicable labor regulations
- Coordinate staff schedules and manage time-off requests to ensure adequate clinic coverage
- Serve as a liaison between clinical staff and the medical director on operational matters
Compliance & Regulatory
- Ensure clinic operations adhere to state and federal healthcare regulations including HIPAA, Nevada Medical Practice Act, and DEA/PMP requirements
- Maintain and update clinic policies and procedures in alignment with regulatory standards
- Support preparation for audits, credentialing renewals, and medical board compliance matters as needed
- Monitor and manage prescription monitoring program (PMP) administrative requirements
Technology & Communications
- Manage and optimize electronic health record (EHR) system utilization and troubleshoot operational issues
- Coordinate telepsychiatry platform administration (Doxy.me) and ensure technical readiness for virtual appointments
- Handle professional communications on behalf of the practice including patient correspondence, referral coordination, and vendor relations
- Support social media presence or marketing initiatives as directed by the medical director
QUALIFICATIONS
Required
- Minimum 2–3 years of experience in healthcare practice management, medical office administration, or a closely related role
- Working knowledge of medical billing, CPT and ICD-10 coding, and insurance reimbursement processes
- Familiarity with HIPAA regulations and healthcare compliance requirements
- Proficiency with electronic health record (EHR) systems and standard office software (Microsoft Office, Google Workspace)
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced clinical environment
- Strong written and verbal communication skills with a professional and patient-centered demeanor
- Ability to maintain strict confidentiality and exercise sound independent judgment
Preferred
- Experience in psychiatric, behavioral health, or mental health practice settings
- Familiarity with Nevada Medicaid, Medicare (PECOS), and managed care credentialing processes
- Experience with telepsychiatry platforms and virtual care coordination
- Knowledge of Nevada Medical Practice Act and DEA/controlled substance administrative requirements
- Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field

Compensation will be processed through standard W2 payroll. The selected candidate will be subject to applicable federal and state payroll tax withholdings. An employment agreement will be required prior to commencement of work.
WORK ENVIRONMENT
This position is primarily on-site at Axis Psychiatry's Las Vegas, Nevada clinic location. The Practice Manager will work in a professional medical office environment alongside a dedicated clinical team serving a high-volume adult psychiatric patient population. Remote administrative work may be considered on a limited basis at the medical director's discretion.
