Position: Practice Manager
Reports To: Owner-physician operationally; Execution Lead for turnaround workstreams
Direct Reports: Front desk staff, medical assistant, scheduling
Location: Imlay City, Michigan — on-site
Position Summary
The Practice Manager is the daily operating leader of an established primary care, urgent care, and occupational health practice currently entering a significant growth phase. This role owns daily operations, leads the clinical and administrative team, executes the operating systems being installed, and drives the practice's growth across primary care, occupational health (DOT physicals, employer contracts, workers' comp), and chronic care management.
The Practice Manager works in close partnership with a remote Execution Lead and Strategic Owner who provide systems, marketing infrastructure, and operational support. The role has real authority, a clear scorecard, and meaningful performance compensation tied to growth.
Key Responsibilities
Daily Operations
Lead daily clinic operations across primary care, urgent care, and occupational health
Hold the team accountable to documented standards for patient experience, phone responsiveness, scheduling, and clinical workflow
Monitor and own the daily operational dashboard
Conduct daily floor walks; address operational issues in real time
Lead weekly team meetings using a structured agenda
Maintain the operations manual and ensure every role has a documented checklist
Team Leadership
Hire, train, schedule, and manage front desk, MA, and administrative staff
Conduct one-on-ones and performance reviews
Coach the team to operational standards and address performance gaps directly
Build a positive workplace culture that retains the practice's tenured providers
Patient Experience
Own the practice's patient experience and Google rating
Manage the review generation engine (NPS, Google review requests, detractor recovery)
Personally handle service recovery calls for any patient escalation
Track and report patient experience metrics weekly
Patient Engagement and Growth Campaigns
Execute Annual Wellness Visit outreach to the Medicare patient panel
Execute Chronic Care Management enrollment alongside the providers
Execute dormant patient reactivation campaigns
Run the patient retention engine via GoHighLevel
Implement the family conversion script practice-wide
Occupational Health Growth
Direct outreach to local employers for DOT physicals, drug screens, and workers' compensation contracts
Manage the DOT physical onboarding and scheduling workflow
Coordinate with the on-site provider team on examiner credentialing and program expansion
Support employer-facing relationships and contract development
Vendor and Compliance
Manage relationships with EHR (Tebra), billing partner (MedCare), care coordination partner, IT, supplies, and other vendors
Maintain the compliance calendar — HIPAA, OSHA, training records, license renewals, BAAs
Coordinate with the practice's healthcare attorney on regulatory matters
Financial and Reporting
Track and report on the weekly operational scorecard
Monitor copay collection, no-show rate, AR aging, coding distribution, visit volume, and patient acquisition metrics
Participate in monthly P&L reviews with the owner-physician and the strategic operations team
Identify operational gaps and revenue opportunities; propose solutions
Required Qualifications
5+ years of healthcare operations experience
Minimum 3 years in a Practice Manager, Practice Administrator, or Senior Office Manager role
Demonstrated experience managing a multi-provider primary care, urgent care, or multi-line practice
Strong P&L and operational metrics experience
Proven team leadership — hiring, performance management, change leadership
Comfortable with technology — EHR systems, patient communication platforms, spreadsheets, basic reporting tools
Excellent written and verbal communication
High standards for patient experience and operational excellence
Preferred Qualifications
Tebra EHR experience
GoHighLevel or similar CRM/patient communication platform experience
Workers' compensation and occupational health program experience
DOT physical program operations experience
Marketing campaign execution experience
Experience scaling or turning around a practice
Familiarity with EOS or similar operational frameworks
Direct sales or B2B outreach experience (for employer contracts)
Compensation and Benefits
Base salary: $56,581.46 - $68,124.11 commensurate with experience

Reporting Structure
The Practice Manager reports operationally to the owner-physician and works in close partnership with the remote Execution Lead, who runs the operational cadence and accountability, and the Strategic Owner, who oversees direction and partnership matters. The Practice Manager has full authority over daily operations and operational decisions within defined scope.
